Configuring E-Mail SignaturesLocate this document in the navigation structure

Use

Use this procedure to configure the system to automatically append an e-mail signature with a new e-mail message. The e-mail signature is a block of text appended to the end of an e-mail message that contains specific information (for example, personal contact information about the sender, company information, disclaimers, and so on). This feature should be used by the applications or the services that send e-mails using the Java Mail API.

The e-mail signatures that you can manage fall into the following types:

  • Corporate signatures

    Corporate signatures may contain company information such as mailing address, disclaimers, address, and so on. To manage the content of a corporate signature, you must have the appropriate permissions assigned to your user. More information: Creating and Modifying Corporate Signatures .

  • Personalized signatures

    Personalized signatures may contain information about the sender, such as phone number, address, and so on. To create, view, and modify the content of your own personalized signature, you must have the appropriate permissions assigned to your user. If a user is deleted, the system automatically removes the e-mail signature of the deleted user. The e-mail signature is stored as UME attributes when you save the signature. More information: Logical Attributes .

Prerequisites

To manage the content of e-mail signatures, you must have a role with the proper permissions assigned to your user.

  • Administrators should be able to manage the content of the corporate signatures and the personalized signatures of all users.

  • Users should be able to create, view, and modify the content of their own personalized signature.

Procedure

Enabling E-Mail Signatures

You can enable users to manage corporate and personalized e-mail signatures. When this feature is enabled, the system automatically appends a signature with a new e-mail message. The signatures are created and modified in a simple HTML editor, allowing the user to format the signatures.

Creating and Modifying Corporate Signatures

Administrators can create and modify corporate signatures with a standalone Web Dynpro application. This application provides the functions to manage and view the content of the corporate signature. The administrators with the proper permissions are responsible for creating and modifying the content of the corporate signatures.

Creating and Modifying Personalized Signatures

You have several options to create and modify the personalized signature of a user. Each user has only one personalized signature in HTML format and in plain text format. The users with special privileges in the UME have the permissions to access and modify the content of the personalized signatures of all users within SAP NetWeaver.
