Creating and Editing Wiki Pages
You always create wiki pages within spaces. A page always has only a single creator, but can have additional authors editing the page.
You have authorization for three permissions so you can create and edit wiki pages:
If you are granted the create page permission, you can create page for the spaces where this permission was set.
If you are granted the upload attachment permission and insert image permission, you can upload attachments and insert images.
Choose a space in the wiki home page and choose Create a page in the Actions box.
Alternatively, you can choose New in the menu bar, select the space in which you want to create a page, and choose Create New Page.
Give the page a title.
Enter the content of the wiki page. There are two editors available for creating text:
The Rich Text editor which behaves like a text editing program and offers numerous formatting functions.
The Plain Text editor with the option to use the wiki markup language for editing. You can see the help for the wiki markup language by choosing the Plain Text Markup Help link on the right of the editor. For more information about wiki markup language, see Structuring Pages with Wiki Markup Language
Note
Note that in the Rich Text editor when you use the Remove formatting button, you cannot remove these formats: from Heading 1 to Heading 6 and Paragraph.
In addition, you can include a path to the location of a file share. Wiki users who have the required permissions for the relevant share can access it directly from the wiki page.
Note that the wikis administrator must have enabled the access to file shares.
Recommendation
We recommend that you use the RichText editor to avoid incorrect formatting.
Optional: You can check wiki content for correct spelling when you choose the
button in the editor.
Optional: You can insert or edit the links in the wiki page by choosing
the button in the editor. There are four types of links that you can insert into the wiki page:
Web Address - insert a link to a Web page.
Space Content - insert a link to a search term for content within the space.
Browse History - insert a link to a piece of content in the system that you have recently viewed.
KM Resources- insert links to KM resources from the KM repositories. Note that you can use the functionality to insert KM resources in the wiki page, if it is enabled by the wiki administrator.
Note
You can edit and format the link text and change the name of the inserted KM resource in the wiki page. This does not affect the original name of the resource in the KM repository which stays the same. However, if you change the name of the resource in the repository, the change is not reflected in the wiki page.
Choose the Preview tab to see what your content of the wiki page looks like.
Optional: You can also upload an attachment which is a document that was created outside the wiki application.
Note
Note that your administrator may restrict the type of the files that can be attached to a wiki page.
Optional: You can define tags in the wiki page in the Tags field. The tagging solution enables the possibility for global categorization and navigation of wiki content.
Optional: You can define an abstract for the page content by choosing Abstract. You can use the wiki markup language to add a short text describing the content of wiki page. For more information about wiki markup language, see Structuring Pages with Wiki Markup Language.
Optional: You can also define the options for collaboration. Refer to the section Collaborating with Other Users on Pages.
Note
Once a page has been published, it can be read by all users having read authorization. You can only prevent this by saving the page in the raw version.
You have several options for saving the page:
To save the new wiki page choose Save and Continue and then continue work on the page.
To continue work on a page at a later time, choose Save Draft. The page is saved in the raw version and not yet published. The raw version is only visible to its creator and to the users defined in the Specific Users field in section. Those defined users can then see the raw version in their Draft Inbox.
To be visible to other users, choose Publish.
Your administrator can activate the moderation option or if there are users who are defined in the Users who must approve for publication field in Collaboration Options, choose Submit for Approval
Note
Note that you yourself can define some users who have to approve the page before it is published even if your administrator does not activate the moderation option. In this case you have to define these users in the Users who must approve for publication field in
Collaboration Options. The page is published once it has been approved. For more information, see Approving Wiki Pages.
Call up your wiki page for editing. You can do this in several ways:
Choose the space containing the page. Find the page in the list and choose it. In the Action sbox, choose Edit page. Note that only the pages that were already published are displayed here.
Choose Find the page in the list of pages (raw version or published pages) and choose it. In the Actions box, choose Edit page.
If your page is listed in the What's New list on the wiki home page, you can also choose it from here. In the Actions box, choose Edit page.
When you edit a wiki page, you can add the summary information about the reasons for the changes to the wiki page by choosing .
You can change a wiki page that was already published and then publish it again. Each time a page is published, a new version of the page is created. You also have access to this new version. For more information, see Managing Page Versions.
If you select the Minor edit, don't send notifications checkbox once you published your changes, no notifications are sent and the created version is marked as a Minor Revision.
The person who creates a wiki page can either edit the page alone or can define further users who may also edit the page. For more information, see Collaborating with Other Users on Pages.
Note
Note that if the user is not registered in the wiki application (anonymous user) and decides to post a link in the wiki page, this link is rendered as a text when this page is published in the wiki application.
