With this function, you can create and administer subscriptions. You can use this function for the following purposes:
You subscribe to a business transaction to get informed when the business transaction is updated.
You subscribe to business transactions that have special attributes. To do so, you create a subscription on the advanced search page and define the conditions that should trigger a notification. For example, you create a subscription to inform your team about changes made to all incidents that have the urgency very high.
You subscribe to an existing subscription that is not created by you.

With the authorization concept of the Notification Framework, you can control the actions of the users. For more information, see Authorization Concept for the Notification Framework.
In the conditions assignment block of a subscription, you can define the conditions that should trigger a notification. For example, you can use the following conditions:
Sold to party to get informed about all service requests requested by a specific customer
Employee responsible to get informed about all service request you are assigned to
Service team responsible to get informed about all service requests that your team is assigned to
Priority to get informed about service requests that have a very high priority
In Customizing, you can define the conditions that you want to use for creating the subscriptions.
You can create a subscription for yourself as well as for other persons. You can use the subscriber types User
, Organizational Unit
, and Business Partner
to define the recipients of the notifications.
For each of these subscriber types you can define the communication channels to be used.
Note
For each communication channel to be used you have to enter a message template in the header of the subscription.
Subscriptions have a validity period. After the validity period has expired, the system does not process the subscriptions any longer.
In the subscriber assignment block, you can lock the subscription to prevent users from unsubscribing. To do so, you can select the field Prevent Unsubscribing
. The availability of this function is restricted by authorization object CRM_NF_SUP
.
While displaying or editing a business transaction, you can directly subscribe to it. To do so, choose the Subscribe/Unsubscribe
button in the workarea toolbar.
Note
Only one button is available for subscribing or unsubscribing to a business transaction or a subscription. If you are already subscribed and press the button, the system warns you with a pop up against unintentional unsubscribing.
The system automatically creates a new subscription. In Customizing of the defaults for direct subscribing, you determine whether the subscription is assigned to your user and user name (SY-UNAME
) or the business partner assigned to your user.
By displaying a subscription, you can subscribe directly to it by choosing the Subscribe/Unsubscribe
button in the work area toolbar.

You can use this function only for subscriptions that are not created by you and when you have the necessary authorizations.
After you have selected the communication channel, the system automatically adds you to the subscription by using your user and user name (SY-UNAME
) or the business partner assigned to your user.
All other subscribers get informed about the change of the subscription.
Multiple criteria are available to search for subscriptions, for example, all subscriptions that are defined for a special user or members of an organizational unit. By defining a search, take into account that the system may have to search for thousands of subscriptions.
Depending on your authorizations, you can change all attributes of the subscriptions or you can only add or remove yourself from a subscription.
You get automatically informed when one of your subscriptions was changed. For example, the administrator has changed the status or has deleted your subscription.
