Process documentationProgram Management

In the Program Management application you can set up a “grantor program” for each type of grant application that may be received. These programs determine how the application is managed and funded and how it is delivered to the grantee, by grouping together all of the related activities used to meet these objectives. Their aim is to make the process more efficient by managing the data effectively and keeping the process transparent for internal and external accountability.

The programs can be broken down into specific hierarchical levels. This allows you to better manage the specifics of a particular group of applications and to have a range of program types that you can offer to the applicant, each with distinctive characteristics.

Parameters for these programs are then defined at the top level but can be modified at any other level to more specifically meet requirements for that particular case.

In Program Management, you have all the functions you need to set up one of these programs and adapt or modify it at any point. It may be that you want to make changes at the end of the fiscal year but you could also make changes during the year if there was a change in objectives. You can also delete a program if no longer required.

Programs are assigned to an organizational unit to represent the program delivery structure or responsibility assignment. The assignment is used for reporting and also for assigning roles and responsibilities. For example, the program manager could be automatically defaulted to a program based on the organizational assignment. The organizational assignment is also used for account assignment derivation.

Process

You can create single programs or hierarchies.

You can assign a new grantor program to another grantor program to create a hierarchical relationship. This relationship is for reporting purposes only, there is no business logic shared within a hierarchy. The program can have as many levels as required and can be flexibly structured. Multiple users can work at the same time on programs within the hierarchy. The hierarchy relationships are not time-dependent.

The authorization object CRM_GMP can be used to restrict access or restrict users from being able to modify a grantor program. For more information, see Authorizations in Grants Management for Grantor.

Note that a program can only be assigned to one hierarchy.

For more information about the features in program management, see Special Settings for Programs.
