You can control how client-based groupware synchronization takes place by means of synchronization settings, which you can make in the following locations:

  • In Microsoft Outlook under Start of the navigation path SAP CRM Next navigation step Options End of the navigation path

  • In your operating system under Start of the navigation path All Programs Next navigation step SAP CRM Client Groupware Integration Next navigation step Maintain Synchronization Settings End of the navigation path

  • In the SAP CRM WebClient UI under Personalize, by clicking Edit Synchronization Settings

“CRM Server” Pane

Explanation

CRM Logon Details

Server

The secure URL for the SAP CRM server. This information is derived from SAP CRM, transaction SMICM under Start of the navigation path Goto Next navigation step Parameters Next navigation step Display Next navigation step Misc End of the navigation path, next to the parameter icm/host_name_full.

Port

This information is derived from SAP CRM, transaction SMICM under Start of the navigation path Goto Next navigation step Parameters Next navigation step Display Next navigation step Services End of the navigation path, in the same row as the parameters icm/Server_port_X and PROT=HTTPS.

The port number is shown in the format PORT=44377.

In transaction SMICM, ensure that the HTTPS port is activated, by choosing Start of the navigation path Goto Next navigation step Services End of the navigation path, selecting the service HTTPS, and choosing Start of the navigation path Service Next navigation step Activate End of the navigation path.

Client

The client number of the SAP CRM system.

Use Single Sign-On

Indicates whether single sign-on is enabled.

Single Sign On Details

Collect Certificate Via and Certificate/Issuer/Path Name

Determines how single sign-on certificates are collected from the certificate store, and the corresponding value for retrieval. The certificate must have a .CER file extension, be valid, and be stored in your local system. You have the following options for collection:

  • By subject name

    In the certificate for your user, on the Details tab, search for SubjectName to find the value. Enter this in the Certificate/Issuer/Path Name field in the format CN=SSO_CA,O=<<ORGANIZATION>,C=<COUNTRY>

  • By issuer name

    In the certificate for your user, on the Details tab, search for Issuer to find the value. Enter this in the Certificate/Issuer/Path Name field in the format CN=<USERNAME>,O=<ORGANIZATION>,C=<COUNTRY>.

  • By Windows authentication

    Uses the Microsoft Windows user and domain name with which you are logged into the system. The field Certificate/Issuer/Path Name is filled automatically with the user and domain name in the format DOMAIN NAME\USER NAME.

  • By serial number

    In the certificate for your user, on the Details tab, search for SerialNumber to find the value. Enter this in the Certificate/Issuer/Path Name field in the format XXXXXXXXXXXXXXXXXX (in the certificate the format is XX XX XX XX XX XX XX XX XX XX; remove the spaces when you enter the value).

  • From a specified path in your local system

    Browse to select the path.

CRM Groupware Client Details

Client Version

Displays the version of the client groupware integration component that is installed on the system.

Mail Client

Displays the default mail client for which groupware integration is implemented.

Filter On Category

Displays the category used during synchronization. This is always SAP CRM.

Language

Determines the language in which the interface texts of the groupware add-in are displayed. Determines the groupware profile for the combination of business role, language, and country.

Time Zone

Displays the local time zone of the system, which is taken into account for synchronization of appointments and tasks.

Appointment/Task Synchronization Settings

Start Date and End Date

The time frame for which appointments and tasks are to be synchronized.

Calendar Reminder

The number of minutes in advance that reminders appear for appointments synchronized from SAP CRM to Microsoft Outlook.

Contact Person Synchronization Settings

Default Country

The country of the business partner associated with the user logged on.

Download from CRM: Owned Contacts

Determines whether contacts are synchronized for which the user logged-on is employee responsible.

Download from CRM: Contacts for Accounts Where User Belongs to Account Team

Determines whether all contacts are synchronized for accounts for which the user logged-on is employee responsible.

Delete Accounts if No Contacts are Assigned

Determines whether accounts without contacts assigned are deleted.

Sync Options

Select

Indicates which entities are synchronized.

Direction: Both Directions

Indicates that items are synchronized from the SAP CRM server to the groupware client and from the groupware client to the SAP CRM server.

Direction: CRM to Outlook/Lotus Notes

Indicates that items are synchronized from the SAP CRM server to the groupware client only.

Direction: Outlook/Lotus Notes to CRM

Indicates that items are synchronized from the groupware client to the SAP CRM server only.

Folder

Determines the mailbox to which you want items to be synchronized.

Attachments

Indicates whether attachments are to be synchronized.

“Confirmation and Conflicts” Pane

The settings below apply to manually triggered synchronization:

Show Confirmation Window For

All

Indicates whether the Conflicts/Confirmations window is to be shown if an item is created, modified, or deleted.

Creation/Deletion/Modification

Indicates that the Conflicts/Confirmations window is to be shown for one or two particular action types (creation, deletion, or modification).

Conflict Resolution Options

Show Conflict Resolution Window

Indicates whether Conflicts/Confirmations window is to be shown if an item has been modified in both SAP CRM and the groupware client.

Outlook/Lotus has Priority

If there is a conflict, the item is unchanged in the groupware client and overwritten in SAP CRM.

No Default Option

If there is a conflict, the Conflicts/Confirmations window appears and the business user decides which version of the item has precedence.

SAP CRM has Priority

If there is a conflict, the item is unchanged in SAP CRM and overwritten in the groupware client.

Explanation

Handling of New Private Appointments/Tasks

Created in Outlook\Lotus Client and Created in SAP CRM

Indicates whether private appointments or tasks are synchronized.

Enable Tracing

Enable Logging

Indicates whether synchronization logs are enabled. You can change the default log file path.

Temporarily Include Exception List Entries

If a decision cannot be taken about whether or not to synchronize an item for which a conflict is displayed in the Conflicts/Confirmations window, the item can be added to an exception list. To synchronize items that are included in the exception list, a business user must select this checkbox. The items are then included in the next synchronization.

“Search Results” Pane

Configure Search Result

Select

You can customize the columns shown in the results of a predefined search in the Relate to SAP CRM add-in in Microsoft Outlook. Select the search for which you want to do this.

Configure Columns

Use the arrow buttons to add and remove columns from the lists of available and displayed columns, and click Apply to save your changes.

“Auto Synchronization” Pane

Enable Automatic Synchronization

Indicates whether automatic synchronization is used.

Schedule Automatic Synchronization

Perform first synchronization at logon

Indicates whether synchronization starts automatically whenever the system boots/restarts or the user is logged in to the system.

Start synchronization every

Defines a schedule for periodic automatic synchronization. The minimum interval is 10 minutes.

When the computer has been idle for

Indicates whether synchronization starts automatically when the computer is in idle state for the specified period of time. The minimum interval is 5 minutes.

Specify the Days for Synchronization

<days of the week>

Indicates on which day(s) of the week automatic synchronization takes place.

Additional Settings: Define the system behavior for conflicts between SAP CRM and groupware

Microsoft Outlook/Lotus has Priority

If there is a conflict, the item is unchanged in the groupware client and overwritten in SAP CRM.

Open Conflict Resolution

If there is a conflict, the Conflicts/Confirmations window appears and the business user decides which version of the item has precedence.

SAP CRM has Priority

If there is a conflict, the item is unchanged in SAP CRM and overwritten in the groupware client.

Additional Settings

Notify me when synchronization is completed

Indicates whether a confirmation is displayed when synchronization is completed or fails.

Use confirmation and conflict settings configured for manual synchronization

Indicates that the settings for manual synchronization apply to automatic synchronization.
