SLS: Collective Purchase Orders

Use

If you generate a collective purchase order for an article for which SLS data is defined, the SLS data is automatically included in the collective purchase order. If pre-packing is required, the system generates sub-items for every collective purchase order item. A sub-item is created for each recipient and the quantity allocated to that recipient.

Note

You can only assign an SLS to a purchase order if you are generating a collective purchase order. If you create a regular purchase order online or have the system generate a purchase order for an allocation table, you cannot assign any SLS.

Prerequisites

To create SLS sub-items in the purchase order, the control table for the Purchasing has to be maintained in the SLS profile (in Customizing for Merchandise Distribution). The relevant combination of event/delivery category/delivery type (for example, Create/Purchase order/Standard PO) must be assigned a follow-up activity appropriate to the SLS.

An SLS is only relevant for a collective purchase order item if the SLS meets the following requirements:

The SLS must be assigned to the article in the item as an additional.

The SLS is required for the vendor of the purchase order (you can deactivate this check in Customizing for each of the procedures for additionals). So that the system can perform this check, it has to determine the source of supply as soon as the collective purchase order is generated.

Features

When a collective purchase order is generated, the system automatically determines the relevant SLS for each item.

If an SLS is assigned a procedure for additionals that has the follow-up action 85 (Pre-packing), the system automatically generates sub-items for each recipient in the relevant collective purchase order item. A sub-item contains information on the recipient and the quantity to be allocated to that recipient. The following applies to the sub-items:

The total quantity in all the sub-items must always be the same as the quantity in the main item.

You can edit the sub-items online. To do this, choose Item ® More functions ® SLS items in the relevant transaction (ME22 or ME23, depending on where you are).

The sub-items are not relevant for Requirements Planning, Inventory Management, Invoice Verification or RIS updates.

An entry is generated in the distribution data of the collective purchase order for each sub-item. No entry is made in the distribution data for the main item.

You can display main items only, sub-items only or all items in the item overview screen by choosing Edit ® Change display. In Customizing for Purchasing under environment data, you can maintain default values that determine how the items are displayed for each user.

An additionals document is generated for each relevant SLS. You can display the additionals documents for a collective purchase order using the additionals monitor.

You can include the costs of SLS in Pricing and have them updated in the RIS. Information structure S108 is available for analyzing these costs in RIS.

You can transfer a collective purchase order containing SLS by EDI. In this case, the following segments are transferred in the purchase order IDoc:

A segment for the total item quantity.

This segment is the main item for the article ordered.

A segment for the SLS.

This segment refers to the main item and includes information on the procedure for the SLS additional. This information lets the vendor know which service to perform.

Several segments for the individual quantities (optional)

These segments refer to the article ordered and are assigned to the main item. They contain information on all the individual quantities, for example the individual quantity of pre-packed goods allocated to a recipient.

Several segments with partner information.

These segments refer to the article ordered and are assigned to the main item. They include information on the recipient of the pre-packed goods. If a customer master record exists for a recipient, the system adds the customer data, such as the address of the store, to the partner segment using 'SLS' as an indicator.
