Defining your own Reports with Drilldown Reporting

Use

You can now define and analyze reports on profit center data using the drilldown reporting tool in addition to the Report Writer and Report Painter.

Drilldown reporting allows you to analyze your data according to different characteristics and key figures.

As with the Report Painter, drilldown reporting is based on the concepts "characteristic" and "key figure":

Characteristics are nonnumeric fields that represent criteria according to which you can select data records. Examples of characteristics are "Controlling area", "Fiscal year" and "Profit center". Characteristic values are the instances of these characteristics, such as fiscal year 1998, 1997, and so on.
Key figures are numerical fields that you can analyze in your reports. Examples of key figures are costs and revenues, balance sheet balances in a certain currency or activity quantities.

Drilldown Reporting in Profit Center Reporting

Ledgers

To be able to report on profit center data, you need to specify the ledger from which you want the system to select the data. You can specify this either in the form or in the report definition. The ledger for Profit Center Accounting is 8A .

If you are working with the ALE distribution method "Decentralized Profit Center Accounting" in your installation, use ledger 8C for your reports in the central system.

Controlling Areas

You can use the standard variable 8AKOKRS in your forms and reports so that your users do not have to enter a controlling manually each time. For this to work, you also need to define a value for user parameter CAC for each user.

Key Figures

The system handles different key figures differently when it comes to calculating totals in reports. For example, costs are added together (aggregation "SUM"), whereas the system displays the last value (aggregation "LAST") for noncumulative values and the average ("AVG") for statistical key figures (such as "Number of employees"). You can use the following key figures in your reports:

The key figures balances in profit center report currency, and balance in local currency (that is, in the company code currency) provide the current balance for the period. The profit center report currency is recommended for reporting.

Characteristics

You must specify values for the profit center and the ledger when you execute a report if these were defined with a variable in the form or report definition.

In the form, you can determine groups (= hierarchy nodes) for the characteristics profit center and account, or enter the following special group variables:

Balance sheet account group: 8ABSITEMS
8APLACCT
Profit center group: 8APCGRP

When using group variables in the form, you can select the hierarchy representation group from form while defining the form. This means that the group entered on the selection screen will also be used for the hierarchical representation in the drilldown list.

Line Items

You can call up a line item report from within a drilldown report. The data in the drilldown report serve as selection criteria for the line item report.

Elimination of Internal Revenue

You can define drilldown reports with elimination of internal revenue using a user exit. For further information, see User Exit: Elimination of Internal Revenue.
