Selection Parameters for Order Selection

Use

The following criteria are available in the selection screen to limit the selection of the orders:

You can limit the reporting time frame to be analyzed.

Note

Limiting the reporting time frame specifies the periods from which key figures can be read; it does not affect the order selection. Orders are selected according to entries specified in the selection screen and, if necessary, the requirements of the status selection profile.

The fields of the general order master, the order header, and the order item for manufacturing orders are available as selection criteria.
You can select according to sales order and sales order item in sales order production.
By defining a status selection profile, you can limit the selection range to orders with a certain status. You can, for example, specify that only orders for which variances have already been calculated should be selected.
If you work with classification, you can also use classifying attributes as selection criteria.

Prerequisites

If you want to use classifying attributes as selection criteria, you must have added these attributes to the selection screen of the classification or defined an additional selection screen containing the attributes. For more information about the procedure, see Customizing for the Information System under Product Cost Controlling ® Information System ® Cost Object Controlling ® Settings Summarized Analysis/Order Selection ® Order Hierarchy and Selection ® Define Selection Screens for the Order List. The selection screens or additional selection screens created here are only needed to select orders according to classifying attributes, and must contain the attributes which you require for your selection. These are usually user-defined characteristics for order classification.

To make the selection of orders dependent on a certain status, you must have defined status selection profiles in Customizing for the Information System. You make this definition under Product Cost Controlling ® Information System ® Cost Object Controlling ® Settings Summarized Analysis/Order selection ® Order Hierarchy and Selection ® Define Status Selection Profiles.

Features

The fields of the general order master, the order header, and the order item for manufacturing orders are available as selection criteria. In the standard system, only a selection of the total fields available is in the selection screen of the reports. However, you can adapt the selection screens to your requirements and access other fields of the above tables by creating your own selection variants. By defining a selection variant, you determine the structure of the selection screen. You can define and set up your own selection variants in your personal work area (favorites).

If you work with classification, you can also use classifying attributes as selection criteria. This is only of use with user-defined characteristics, because, for the most part, the existing object characteristics agree with the above-mentioned master data fields available for selection.

Classification provides several order selection options, as follows:

You use the classifying attributes as selection criteria.

Go from the selection screen for the order selection to the classification screen and start the selection by entering the characteristic values. After selecting the orders that correspond to the characteristic values, go back to the selection screen for order selection. This screen displays only those orders selected by classification (in the order field). If required, you can limit the selection range by entering further selection criteria.

You only use the existing master data fields as selection criteria for order selection. If orders are read during selection for which classification is active, you can extend the display to include the classifying attributes of these orders.

To do this, enter the desired selection criteria in the screen for the order selection. You must also turn on the indicator W/ classification chars. When the report is executed, the classifying attributes of the classified orders are read from the databank and output. You can display these attributes by defining a display variant in the results list.

You can limit selection to orders with a particular status by entering a status selection profile in the selection screen. You use status selection profiles to lay down conditions for the selection of orders according to user status or system status.

Example

Suppose you want to select all partially delivered orders for a particular material. You use a status selection profile that allows only the status partially delivered.

You can also define exceptions in the selection screen of the report. Exceptions are used to display traffic light symbols (red/yellow/green) at orders whose values exceed a predefined threshold. You specify the reference for the threshold values by choosing a rule basis (such as actual costs absolute). The percentage and absolute threshold values that you specify tell the system by how much the reference value must be exceeded before it displays a traffic light symbol on the order.

Special Processing with Joint Production

To enable the status-dependent selection of orders in joint production, you can enter separate status selection profiles for the order header and order item, since both statuses can be different in joint production.

You decide in the selection screen of the report whether the key figures for the selected orders should be displayed at the order header level or additionally at the order items level. In joint production, the values must be displayed at the order item level. In addition to the selected setting, you also specify which display variant should be used for the structure of the results list.

Notes on Performance

To avoid long runtimes when you execute reports, you should limit the selection range as much as possible and use extracts, if necessary. Please note that the length of the runtime is also dependent on the selection of display fields for the results list that you defined in Customizing.
