Purpose

You define language-independent document templates using certain objects and symbols in a modified version of Microsoft Word (Windows Wordprocessor Integration (WWI)) (see Document Types in Reporting).

Prerequisites

Note

When editing report templates, system performance can be improved if you make the settings in Word to display hidden text. To do this, under Tools ® Options ® View, select the Hidden Text checkbox.

Inserting Phrases

If you want to insert phrase texts, codes, graphics, the language for a phrase, or comments about phrases, you must have edited them in phrase management in the SAP System.

Inserting Symbols

You can check all symbols in the IMG activity Check and Specify Report Symbols in Customizing for Product Safety.

Note

According to the symbol group defined in the IMG activity Specify Report Symbol Groups in Customizing for Product Safety, you use the Insert symbol function to insert field values, characteristic values, or phrases from phrase-related characteristics. The fields can belong to tables in the SAP component Product Safety or other SAP components.

Process Flow

  1. Starting WWI

To edit a document template layout, start WWI from the SAP System.

  1. Handling the WWI user interface

You can access the main functions using the WWI menu or by using a special WWI toolbar.

WWI also features a number of special keyboard shortcuts.

You can only change the basic settings if you have a local installation of WWI on your PC. For central installations, your system administrator will make the settings.

If required, you can set up the display mode so that information formatted as hidden is not displayed on the screen.

  1. Inserting static objects and symbols (see Document Template Objects)

You use Word functions to insert static objects, such as lines, into the template.

You use various symbol types to link the document template with R/3 data (see Symbol Type Phrase, Symbol Type Symbol, and Symbol Type Parameter).

To insert symbols on the report template, there are two different procedures: Insert Phrase and Insert Symbol (see Selecting Methods for Entering Data and Example: Layout of an Abridged Material Safety Data Sheet).

  1. Editing symbols

Using various control objects, you define how the system outputs data (for example, hide repeated text, output only certain value assignment data records). The Wizard enables you to:

  1. Returning to the R/3 System

Before you return to R/3 from WWI, check the layout you created.

Result

In order to create a report from the released report template, you must assign a generation variant (see Generation Variant Editing).

For report templates with specification symbols, you can test a simulation of the expanded layout of the report and print it if required. The report template must have the status Released or In work.

Note

You cannot simulate reports without references to specifications, cover sheets, and acknowledgements of receipt before their final version has been generated.
