Refresh Data

Refresh data fetches the latest data from data sources and re-applies the defined actions on the worksheet.

When a worksheet is created, the date and time are automatically recorded in the timestamp in the lower right-hand corner. Data acquired in a worksheet originates from, possibly remote, data sources. While preparing the data in the worksheet, it might be updated in the original data sources. To refresh the data at any point of time, use the Refresh Data action by following the steps below.

  1. To refresh the data from a remote data source, local HANA table, view, or calculated view:
    1. Click Refresh Data under Actions on the Worksheet.

      A dialog appears that lists all the data sources used to create the worksheet.

    2. (Optional) By default, the data will refresh in your current worksheet. To open the refreshed data in a new worksheet, select Create a separate worksheet.
    3. Select the data sources you wish to refresh.
      • You must select at least one data source to refresh.

      • When a worksheet is created using a local HANA table, a copy is not saved in the local HANA server. So, if one of your data sources is a local HANA table, the refresh feature will always fetch the latest data from the table. Therefore, the local HANA table appears grayed out in your list of data sources and cannot be deselected.

    4. Click OK.

      A new worksheet is created with the updated data and is named <Worksheet Name> (1). You can ensure that the refreshed data has been created in a new worksheet by checking that the Actions History for both the old and the new worksheets are identical. The new worksheet is independent of the original worksheet. You can continue preparing the data in either worksheet without affecting the other one.

      Note
      If your privileges on the original data source have changed to not allow you to access the data, the refresh will fail.
  2. To refresh data from a flat file:
    Note
    • Only Excel files can be refreshed. You cannot refresh a CSV or XML file.

    • Worksheets that have been created using a flat file in versions prior to SAP Agile Data Preparation 1.0 SP19 cannot be refreshed.

    • If you have deleted a row or edited a cell in your existing worksheet that you wish to refresh, these actions will be removed from the History, because during the refresh, keys that are generated in these data remediation actions cannot be retained.

    • If you have removed columns or changed data types in the new Excel file you are uploading, the refresh will fail.

    1. Click Refresh Data under Actions on the Worksheet.

    2. (Optional) By default, the data will refresh in your current worksheet. To open the refreshed data in a new worksheet, select Create a separate worksheet.
    3. Select the Excel file(s) you wish to refresh.
    4. Click Upload Files.
    5. Select a valid Excel file(s) using the Browse button or by dragging and dropping the file(s) into the dialog box.
    6. If you are uploading multiple Excel files, select the sheet to use for each Excel file in the drop-down lists.
    7. Click Refresh.

      A new worksheet is created with the updated data and is named <Worksheet Name> (1). You can ensure that the refreshed data has been created in a new worksheet by checking that the Actions History for both the old and the new worksheets are identical. The new worksheet is independent of the original worksheet. You can continue preparing the data in either worksheet without affecting the other one.
