Create a Purchase Request
You can create a purchase request by adding one or more items to the request, filling in the required purchase details, and then submitting the request for processing.
You can also request a new vendor be added to the system.
To create a purchase request:
- Click Requests > Purchase Requests > Request Items. The Pending Request page appears.
- In the Cart Items section, click Add New Item.
- Fill in the appropriate fields.
Field Description Policy Select the policy you want to use for the purchase request. Type Select Goods or Services. Vendor Select the vendor you want to use for the purchase request by clicking the field. The five most recently used vendors appear in a list. In addition, you can click the More Search Options link in the list of vendors to perform more advanced search options.
Expense Type This field shows the expense type for the item. Receipt Type Select the receipt type you want to use, that is None or Quantity Receipt. Description Enter a description of the purchase request. Item No Enter the item number of the item. Quantity Enter the amount of the item. For goods only. Unit of Measure Enter the unit of measure of the item, such as Each, Dollar, or Dozen. Unit Price Enter the unit price of the item. Tax Enter the tax amount for the item. For goods only. VAT Amount Enter the VAT amount of the item. For goods only. VAT Rate Enter the VAT rate of the item. For goods only. Currency Select the currency of the item. For services only. Total This field will show the total of the quantity times the unit price, that is unit price x quantity = total. For services only. Needed By Select the date by which the item is needed. URL Enter a URL. For services only. Comment Enter a comment for the vendor. - Click Save. The details of the item appears in the Cart Items section.
- Click Request to assemble the request and open it.
- In the Description field, enter a description of the purchase request.
- In the Ship To Address field, select a ship-to address.
- In the Bill To Address field, select and bill-to address.
- Click Save. This action will create the purchase request.
- At this point, you will likely either:
- Itemize the purchase request
- Allocate the purchase request
- When complete, click Submit.
