You can group any number of operating rooms to form a Central OR service facility. Users send all requests for all surgeries to this service facility. This coordinating unit schedules and processes the surgeries for all operating rooms in the common OR plan of the Surgeries view type or of the Appointment Planning view type in the Clinical Work Station.

Individual operating rooms take on the role of treatment rooms without their own list of patients and scheduling functions.

You can exclusively assign an operating room to a planning department (OU). In this case, the department has all operating room time slots available. No other department can plan surgeries in the operating room.

If the capacity of this operating room is not permanent, you can make the operating room available to several planning departments on specific days in specific time windows. This requires a certain amount of coordination between the departments when creating the OR plan.

A surgery coordinator should oversee this coordination. The surgery coordinator has planning authority in all operating rooms.

Each day, when planning begins, the surgery coordinator uses the registered surgeries to estimate the required time windows and redefines the time windows. The surgery coordinator uses the Change Planning Authority function in the OR plan.

The departments plan the registered surgeries within their available time windows. The surgery coordinator can plan further surgeries in any free time windows following discussion with the departments involved.

  • Define operating rooms as Planning Objects (with opening times)

    For each planning object (operating room) you can enter a Day Program or a Week Program (appointment calendar).

    You assign all planning objects to a planning object class.

    You define the proposed room of the request or the clinical order in the service range of an organizational unit as a building unit for the service

Configure Central OR

The central OR is a collection of rooms used by various operating departmental areas or organizational units.

You should note that it is not obligatory to configure a central OR, however, it is recommended by i.s.h.med.

You assign the central OR inter-departmentally to each operating department at a lower level. The surgery movement contains the central OR as the nursing OU, but the operating department as the department.

When configuring the central OR, you should be aware of the following:

  • Due to departmental and organizational reasons you cannot assign a room (operating room) to a specific performing OU.

  • Also, SAP Patient Management basic data does not allow the assignment of a room to several performing organizational units.

We recommend that you configure the central OR as follows:

  • Define the central OR as a separate OU.

    In the process-oriented organizational hierarchy you can simultaneously assign an operating department to several organizational units (OUs). This has no effect on existing organizational structures. You can, however, access a view using several centrally-organized operating units (several central ORs)

  • You assign all rooms of the central OU as building units of this OU.

  • Assign the operating departments to the central OR using the process-oriented organizational hierarchy at a lower level, so that the central OR can access and plan requests to departments (e.g. general surgery).

  • You set the Outpatient Visit Allowed indicator for the central OR.

    When planning an operation, the planning list is oriented towards the selected room and creates the movement in the central OR organizational unit. Since the room and the OU must be associated with each other, the system can also enter the selected room in the movement.

    Independently of this, the system will use the performing OU from the ordered service for the documentation and performance of services and/or forwarding to controlling.

  • To differentiate between the central OR and a normal service facility, you should configure a separate organizational type for the central OR organizational unit.
