Budget Period in Contract Accounts Receivable and PayableLocate this document in the navigation structure

Concept

The budget period assignment element is available for use in the business partner and general ledger items. You can use the budget period to restrict the funds by time.

Prerequisites
  1. To be able to use the budget period as a new account assignment element, you need to activate the following business functions in Customizing:

    • PSCD, Collections Management and Credit Clearing (PSCD_COLLECTIONS_MANAGEMENT_2). This business function forms part of the Public Services business function set.

    • Both of the following enterprise business functions:

      • PSM, Budget Period (PSM_GEN_BUDPER_1)

      • PSM, Budget Period 2 (PSM_GEN_BUDPER_2)

    You activate business functions in Customizing under Activate Business Functions.

  2. Furthermore, all prerequisites relevant for the integrated use of Funds Management (PSM-FM) with Contract Accounts Receivable and Payable(FI-CA), the industry component Public Sector Contract Accounts Receivable and Payable (IS-PS-CA), and the industry component SAP Utilities (IS-U) have to be fulfilled as well.

  3. To use the budget period account assignment element, you must first activate it. To do this, access Customizing and choose Start of the navigation path Public Sector Management Next navigation step General Settings for Public Sector Management Next navigation step Basic Settings: Account Assignment Elements Next navigation step Activate Account Assignment Elements End of the navigation path.

  4. If desired, you can define special account assignment derivation for the fund. For example, you can specify fixed combinations of budget periods and funds. You define account assignment derivation in Customizing for Public Sector Management under Start of the navigation path Funds Management Government Next navigation step Master Data Next navigation step Allocations to Account Assignments from Other Components Next navigation step Define Account Assignment Derivation End of the navigation path.

Features
Caution

You can only use the budget period in combination with the fund as an additional classification criterion. This means that you cannot assign the budget period without specifying a fund.

Once the budget period is activated, it is available in the following transactions:

  • Post Document

  • Create Security Deposit

  • Create Requests

    Note

    To show or hide the budget period, you need to change the column selection of the layout used.

  • Clear Open Items

  • Display Returns Lot

  • Cash Desk

The program that transfers the totals records from Contract Accounts Receivable and Payable (FI-CA) to Funds Management (PSM-FM) also transfers the budget period to General Ledger Accounting as part of the transfer of totals records (table DFKKSUM).
