 Creating a Mandate Company Code

Purpose

When you manage real estate objects belonging to someone else, the owner of the object gives you their authorization, or mandate , providing the legal basis for the management services. To ensure separation of assets, you use a separate company code for each mandate that has been granted, along with all of the real estate objects and processes associated with it. For this company code, you enter the master data relating to the mandate, and you enter a reference company code. The system copies the Customizing settings of this reference company code, as well as its G/L accounts and house bank accounts, to the new mandate company code.

Prerequisites

You made these settings in Customizing for Flexible Real Estate Management and for Enterprise Structure :

  1. You defined the reference company code, from which the settings are copied when you create a new mandate company code. The reference company code is used only as a template. It is not possible to create master data in the reference company code.

  2. You defined the chart of accounts for the reference company code in Financial Accounting, and entered G/L accounts.

  3. You made settings for the controlling areas for the reference company code.

    1. To create a reference company code with a controlling area, in Customizing for the Enterprise Structure , choose Start of the navigation path Definition Next navigation step Controlling Next navigation step Maintain Controlling Area Next navigation step Copy, Delete, Check Controlling Area End of the navigation path .

    2. Copy a suitable, existing combination of company code and controlling area.

      Make all necessary settings for the reference company code. Note:

      • You have to set up the controlling area so that multiple company codes can be assigned to it.

      • You have to activate Real Estate Management in the company code and in the controlling area.

      • You have to specify that the company code is a reference company code.

        For these two settings, in Customizing for Flexible Real Estate Management (RE-FX),choose Basic Settings.

      • You have to make settings for payment transactions in Financial Accounting. In the reference company code, you use dummy bank details. These are overwritten later by the actual bank details from the mandate when you create the mandate company code.

  4. You made settings for the creation of the mandate.

    In Customizing for Start of the navigation path Flexible Real Estate Management(RE-FX), chooseThird-Party Management Next navigation step Master Data of COA Mandate and Object Mandate End of the navigation path .

Process Flow

Create Mandate Master Data

  1. In the RE Navigator (RE80), choose Object Overview . In the dropdown list, choose Mandate. Choose with the quick info text Create .

  2. Specify if the mandate should be an object mandate or a COA mandate (see Mandate ).

  3. Enter the company code you want to copy in the Reference CoCode field.

  4. Confirm.

    In the Controlling Area field, you see the controlling area used for the company code.

  5. Only for COA Mandate:

    If you own condominiums yourself in the COA mandate, and you want to continue to manage these in your own company code, then enter this company code in the Manager Company Code field.

    Only for Object Mandate:

    The situation could arise that an owner possesses buildings and land managed by you in an object mandate, and in addition to these, owns condominiums (see COA ) that are part of a condominium owners’ association that you manage. In that case, you can manage the rental of these condominiums in the object mandate. The rent revenue is then posted directly in the object mandate company code (similar to manager company code). The original object for this rented condominium is in the COA mandate, in this case. The object mandate company code uses a copy of this object for handling the rental. This copy is linked to the COA object. To be able to create this link, you have to set the Manager Company Code Behavior indicator.

  6. Choose the House Bank Accounts tab page. Here the system displays the bank keys and account keys that were set up for the reference company code in Customizing. You can add to this data by entering bank numbers and account numbers, thereby rounding out the Customizing settings for the bank details in the mandate company code.

  7. On the Partners tab page, you can add various business partners in different roles for this company code.

    For owners, you can enter their share of a property.

  8. Save the master data of the mandate.

    The Mandate Company Code Exists? indicator shows that the mandate company code was not yet created.

    Create Mandate Company Code from Mandate

    You are displaying or processing a mandate.

  9. In the menu bar, choose with the quick info text Activate Mandate.

    When you activate the mandate, the system creates the mandate company code. It copies the Customizing settings and G/L accounts from the reference company code you entered. The accounts entered on the House Bank tab page are copied as house bank accounts in the new company code.

    The mandate company code receives the same number as the mandate.

Result

You created a mandate company code from the master data of the mandate and the Customizing settings and G/L accounts of the reference company code. The Mandate Company Code Exists? indicator shows that the mandate company code was created.

A new tab page, Business Entities , appears in the mandate master data, where you can create business entities.

    Note Note

    You might need to make changes later to the settings of the reference company code, for example, adding new G/L accounts. In that case, you can use transaction REMMBAMN to have the system automatically copy these changes to all mandate company codes that refer to that reference company code.
