Output Management for Business PartnersLocate this document in the navigation structure

Use

When you specify a partner-dependent action in the Maintain PPF Settings Customizing activity, the communication methods you specify apply to all business partners in all organizations in your company. You can use the output management for business partners feature to specify communication methods at business partner level.

Prerequisites

You have performed the following actions in Customizing for Cross-Application Components under Start of the navigation path Processes and Tools for Enterprise Applications Next navigation step Reusable Objects and Functions for BOPF Environment Next navigation step PPF Adapter for Output Management Next navigation step Maintain PPF Settings End of the navigation path:

  • In Start of the navigation path Define Action Profile and Actions Next navigation step Action Definition End of the navigation path, you have selected the Partner-Dependent checkbox and entered the relevant partner function.

  • In the Processing Type for the relevant action definition, you have entered the relevant communication methods. This enables you to use the associated communication methods in the business partner screen.

Features

On the Output Management tab of the business partner screen, you can specify output management settings for the business partner for different organizations. When you specify an action and an organization for a business partner, the system enables print, fax, and e-mail communication by default.

Example

In the business partner screen, you specify or restrict the communication methods for fax and e-mail for the action TOR_CNC for business partner CARRIER_1 in organization 4711. For business partner CARRIER_1 in organization 4711, the system uses the settings you have specified to generate action TOR_CNC. For all other organizations, the system generates actions based on the settings in the Maintain PPF Settings Customizing.

Example

You have a business partner CARRIER_1 to whom you do not want to send faxes in all organizations. To do this, enter an asterisk (*) in the Action field and select the No Fax checkbox.

Alternatively, you do not want to send faxes or printouts to CARRIER_1 for all organizations except organization 4711. To do this, create two entries in the PPF Actions for Organizations table. In the first line, enter the relevant action, and an asterisk in the Organization field. Select the No Print and No Fax checkboxes. In the second line, enter the same action that you entered in the first line, and the organization 4711. Leave the No Print and No Fax checkboxes deselected.

In the PPF Actions for Organizations table of the business partner screen, you can enter an action that you specified as partner dependent in the Maintain PPF Settings Customizing activity. The system also automatically adds the partner function that you specify for the business partner. The partner function corresponds to the party role in SAP Transportation Management (SAP TM).

If you do not specify any actions in the PPF Actions for Organizations table, the system uses the settings in the Maintain PPF Settings Customizing activity by default.

For each relevant business partner, you can specify the document format that the system uses when printing a business document, for example, a master bill of lading. You can assign a smart form, a PDF form, or both, to a business partner. The system uses the smart form, PDF form, and the number of print copies that you specify in the business partner settings. If you do not make these specifications, it uses the corresponding settings from the Maintain PPF Settings Customizing activity.

Example

A logistics service provider (LSP) provides services to several carriers. The LSP needs to print a master bill of lading on behalf of each carrier. The LSP specifies the appropriate layout in the PDF Form field of the business partner screen for each carrier. The system uses the layout to print the master bill of lading for the appropriate carrier.
