 Planning and Activating Moves

Use

You are planning an internal move in order to change the continuous occupancy data of certain individuals at a given point in time. You therefore assign occupants to target rooms, and the system then automatically adopts these assignments as the actual values (actual occupancy) after the specified point in time.

Procedure

In the RE Navigator (RE80), choose Object Overview . In the dropdown list, choose Move Plan. Choose ( Create ).

Enter an ID for the move plan.

Enter the header data for the move plan.

Specify the persons who are moving:

By searching directly for the people (for example, for a move-in)

By using an architectural object, the assigned reservation object, or an organizational unit

You drag and drop names from the list of selected objects to the list of persons moving.

Specify the target rooms:

By searching directly for target rooms

By selecting from the architectural object hierarchy

You drag and drop the objects you want from the list of selected objects to the list of target rooms. After that, you delete the desk assignments that are not relevant for the move from this list of target rooms.

Plan the new occupants of the target rooms.

Assign the persons moving to the available objects in the list of target rooms, using drag and drop.

The system adds these assignments to the list of target rooms. If you do not want to continue processing a person in the list of target rooms, then select the Ignore checkbox for that person.

If a person moves out, but does not move in again somewhere else, then choose the entry Move-Out under Planning Type in the list of target rooms.

The system automatically sets the planning type to Move for persons who already continuously occupied a reservation object before the move (that is, they are moving from one office to another). For persons, who did not already continuously occupy a reservation object before, the system automatically sets the planning type to Move-In (that is, move-in only, without moving out of another office first).

For certain persons, you can choose to enter individual move dates that differ from the dates of the move as a whole. In that case, select the Period Changed checkbox for the entries, and confirm. The relevant date fields are then available for input. Or you can change the individual dates as follows:

Select the entry in the list of target rooms and then choose ( Change Times ). A dialog box appears.

In the dialog box, select the Apply checkbox for the date entry you want to change, and enter the new move-in or move-out date.

Also select the Period Changed checkbox in the dialog box to indicate that you changed the move date manually and the move date is no longer dependent on the dates of the move as a whole.

In the standard system, the system adopts the move-in and move-out dates that you defined in the header data of the move plan ( General Data tab page).

If you want to transfer planning responsibility for a person to another assignment planner, then choose the new planner in the Assignment Planner field. For more information about assignment planners, see Delegation of Move Planning .

In the list of target rooms, release the entries that you have finished processing:

To release individual entries, select them and choose ( Release Selected ).

To release all entries, in the dropdown list for ( Release Selected ), choose Release All .

Activate the released entries in the list of target rooms. The planned occupancy data thereby takes effect in the system.

To activate individual released entries, select them and choose ( Activate Selected Entries ).

As soon as you activate an entry, the system executes the move for that person (that is, the new occupancy data is now valid for that person in the system).

To activate all entries, in the dropdown list for ( Activate Selected Entries ), choose Activate All . Or you can choose ( Activation of Move ) in the toolbar.

You can undo the activation of entries.

To undo the activation of individual entries, select them and choose ( Deselect ).

To undo the activation of all entries, in the dropdown list for ( Deselect ), choose Deselect All .

Once you have activated all entries, the move plan as a whole receives the status Activated .

If you want to reverse individual moves after the entire move plan has been activated, you first have to undo the activation of the entire move plan. Choose ( Undoing Activation of Move ).

You can interrupt and temporarily save planning for a move before you activate the move plan. You can also process certain entries later , after the plan was already activated. The system displays the current planning status of the objects on the Occupancy tab page, provided that you activated plan entry display.

Result

You activated the move that you planned. On the specified date, the newly assigned target rooms automatically take effect for the persons moving (move and move-in). For persons moving out, their continuous occupancy data in the old room is ended on that date.
