Creation of Crystal ReportsLocate this document in the navigation structure

Use

You can create your own Crystal Reports based on a query or based on another report.

Prerequisites

See Prerequisites: Displaying Data from Queries Using Crystal Reports.

Note

In Crystal Reports Designer, choose Start of the navigation path SAP Next navigation step Settings End of the navigation path. Specify that the system uses the MDX Query driver.

Features

Proceed as follows if you want to use your own Crystal Reports:

  1. Creating a report

    Create new reports based on a query or change the copy of a report provided by SAP.

  2. Saving and publishing a report

    Save your reports and publish them on SAP BusinessObjects Enterprise Server (BOE).

    You can publish the reports directly when you save them or at a later point in time in the BW system in Content Administration Workbench (transaction /Crystal/RPTADMIN).

Activities

Creating a new report with a template

You can create a new Crystal Report based on a query.

In Crystal Reports Designer, choose Start of the navigation path SAP Next navigation step Create New Report from a Query End of the navigation path.

Editing a report

You can create a new Crystal Report based on an existing report that you have already copied:

  1. Opening an existing report

    In Crystal Reports Designer, choose Start of the navigation path SAP Next navigation step Open Report End of the navigation path.

  2. Logging on to the BW system

    The SAP Logon dialog box appears and you have to select the corresponding SAP BW system. Log on in the usual manner.

  3. Selecting a report

    1. A dialog box appears. Choose Search and select Search in Technical Name.

    2. Enter 0CR*, for example, to search for an existing report.

    3. Double-click the required report to display it.

  4. Editing a report

    You can edit the report and use drag and drop to transfer key figures and features, for example, from the Field Explorer to the Design area.

    Note

    In the Field Explorer, in the context menu of the parameter field, choose New to add a new field.

  5. Saving a report

    Crystal Reports are stored in the BW system as BI content and can be saved in an existing BW role (PFCG role) or in one of your own roles.

    You have the following options:

    • Choose Start of the navigation path SAP Next navigation step Save As End of the navigation path.

      The system creates a new report in an active version.

    • Choose Start of the navigation path SAP Next navigation step Save Report End of the navigation path.

      The system overwrites the active version.

Listing reports

You can use the report RSCXP_CRYSTAL_SHOW to display reports and associated roles in the BW system.

Publishing a report

You can publish Crystal Reports directly when you save them in Crystal Reports Designer or you can publish them in the BW system in Content Administration Workbench (transaction /Crystal/RPTADMIN).

Proceed as follows in Content Administration Workbench:

  1. In the left-hand screen area, choose Start of the navigation path Enterprise system Next navigation step Available systems End of the navigation path.

  2. A dialog box appears in which you can set the system, RFC connection, or language, for example.

  3. In the left-hand screen area, choose Publish reports and then Select reports and roles to publish.

  4. Select the corresponding system and enter the required selection criteria, for example, SAP_BWC* (as the role) and 0CR* (as the report).

  5. Select the desired reports and choose Publish.

    When the report is published on the BOE, the language versions are created.

Note

You can save and publish Crystal Reports in Crystal Reports Designer in one workstep. You do not need to activate your own reports separately in the BW system.

Make any required settings under Start of the navigation path SAP Next navigation step Settings End of the navigation path.

Deleting a report

In Crystal Reports Designer, choose Start of the navigation path SAP Next navigation step Open Report End of the navigation path. In the subsequent dialog box (Open a Crystal Report from BW), click a report and choose Delete in the context menu. The report is then deleted with all references, that is, all of its role assignments are deleted and the report is also deleted on the BOE.

Note

In the context menu, click Properties to display, for example, who created the Crystal Report.

You can also delete reports in Content Administration Workbench (transaction /Crystal/RPTADMIN).
