 Processing Reporting Rules

Prerequisites

You set the Relevant to Sales indicator on the General Data tab page in the real estate contract.

Procedure

You define the reporting rule as a contract term in the sales-based rent agreement.

  1. Choose the Sales-Based Rent Agreement tab.

  2. Choose the Reporting Rule term category. The Reporting Rule, Sales Reports and Memo tabs are displayed in the lower part of the screen.

  3. Enter a name for the reporting rule after the term number.

1. Time-Dependency of the Reporting Rule

A reporting rule can start or end during the contract term, or certain parameters can change within the validity period. By choosing with the quick info text Show Time-Dependence , you can enter the validity period for a reporting rule or change it for an existing reporting rule.

  1. After a certain date, reporting is required on quarterly basis rather than monthly.

The contract term is the default for the validity period of the reporting rule, but you can change this in the reporting rule.

  1. The calculated sales-based rent should be based on the annual sales of a tenant, but the lease-out does not begin until August.

  2. Furthermore, for statistical purposes, sales should still be entered after the rental end date.

2. Parameters for the Reporting Rule

  1. Sales type : Sales reports can be made either in relation to sales type or to total sales. You create sales types and the units related to them (currency, unit of quantity, and so on) in Customizing. Choose

  2. Set the statistical indicator if you do not want actual sales-based settlement to be performed. In this case, when you enter sales reports you also have to enter a sales ID that was specified for statistical sales-based settlement in Customizing. You define sales IDs in Customizing. Choose:

  3. In the Gross/Net Sales field, you have to specify if gross sales (for instance for statistical purposes) or net sales (for actual settlement) are reported. If you choose Gross and Net Sales , one of them has to be statistical.

3. Reporting Frequency

In this table, you specify which sales are to be reported and when.

  1. Monthly reporting of regular sales, quarterly reporting of planned sales, and annual reporting of certified sales.

    If, for instance, no planned sales have to be reported, you leave this field empty.

In the case of contracts with new tenants, a shorter reporting frequency is often arranged to assist monitoring in the early phase, and this frequency is then increased to a longer period at a later stage. For this reason, always specify the start date of the reporting frequency (for example, specify that the frequency should always be calculated on the first or tenth day of the month).

The reporting frequency does not have to be the same as the settlement frequency, but it generally falls within the settlement frequency.

4. Tolerance

Here you can enter a period (in days, weeks, or months) within which sales must be reported once the regular reporting frequency has elapsed. Furthermore, you can specify the calendar with which the tolerance period is to be determined (specific to the country in question).

5. Excluded Period

For seasonal businesses (such as ice cream parlors), you can specify here on an annual basis the relevant period (start and end date) in which no sales have to be reported and likewise no sales-based rent settlement takes place.

The excluded period is simply used to indicate that no sales are to be reported in this period. However, the period has no effect on minimum rent conditions or minimum rules in the sales rule. Any restrictions for these related to time have to be specified in the condition or in the sales rule.

 

6. Objects for Reporting Rule

Rental objects, for which sales have to be reported, have to be assigned to the sales-based rent condition of the sales rule assigned to the reporting rule. They are only displayed in the sales-based rent agreement.

This makes it possible to assign not just a single object, but an object group or all objects of a contract to a reporting rule.

Note

If the frequency of sales to be reported is changed, a new time slot needs to be created for the entire reporting rule. Follow the procedure described in Time-Dependency of the Reporting Rule .
