Long-Term Seating Arrangements and Move Planning

Purpose

You can use this process to track data about persons occupying rooms or other real estate objects over long periods of time. You can plan and record which persons occupy which rooms, while assigning any costs to the Controlling (CO) component. You can also plan internal moves.

Prerequisites

  • You activated the Real Estate (RE_GEN_CI_1) business function.

  • You activated the Seating Arrangements/Move Planning (ORPO) subfunction in Customizing. In Customizing for Flexible Real Estate Management (RE-FX), choose Start of the navigation path Basic Settings Next navigation step Activate Subfunction End of the navigation path .

  • You made all the settings described in Room Reservations and Long-Term Seating Arrangements .

Process Flow

  1. Create master data of the architectural view.

You enter the architectural details of your real estate portfolio in the system using the architectural view . For continuous occupancy, create an architectural object of the type Room . You use the function of the room to control whether the room is available for continuous occupancy.

  2. Generate reservation objects.

Run the program for creating reservation objects .

  3. Determine the room prices.

Define the basis for the calculation of prices for continuous occupancy. In Customizing for Start of the navigation path Flexible Real Estate Management(RE-FX), chooseRoom Reservations and Long-Term Seating Arrangements Next navigation step Define RE Search Request Type for Reservations and Seating Arrangements End of the navigation path . Specify prices for the individual rooms and enter the receiver for the costs (such as, a cost center to which the costs are posted).

  4. Create a business partner.

    1. Define the roles an occupant is allowed to have. In Customizing choose Start of the navigation path Business Partner Next navigation step Relevant Settings for Business Partner in RE Context Next navigation step Business Partner Roles Next navigation step Assignment of Role Categories to Real Estate Applications Next navigation step Make Settings for Roles per Object Type. End of the navigation path For each of these roles, create an entry for an offered object with the differentiation criterion Can Be Continuously Occupied .

      Note Note

You can also assign a role to a person moving (or occupant) directly from the RE Navigator. For more information, see Recording Continuous Occupancy of an Individual Reservation Object .

      End of the note.
    2. For move planning, you can use the function for delegating partial planning . In that case you have to define a business partner role of the type Assignment Planner (TR0814). In Customizing, choose Start of the navigation path Business Partner Next navigation step Relevant Settings for Business Partner in RE Context Next navigation step Business Partner Roles Next navigation step Define BP Roles End of the navigation path .

    3. Create the business partner centrally that you want the system to propose when you create continuous occupancy data. Enter the user name of the business partner on the Identification tab page.

Using Organizational Management, you can assign a cost center to a business partner. For more information, see Assigning Business Partner and Cost Center to Each Other .

  5. Enter continuous occupancy for objects.

Enter continuous occupancy data for individual or multiple reservation objects.

  6. Post costs of continuous occupancy to Controlling (CO).

Post the costs for the continuous occupancy to Controlling. For calculating the costs that are due, the system uses the account assignment data that you specified when you entered the continuous occupancy data.

  7. Plan and activate the move.

Plan a move of those persons, whom you assigned to the reservation objects, and activate this move. As a result of the move, new permanent occupancy data (new room information) becomes valid beginning on the specified date.

Result

You assigned people, who are to occupy your reservation objects over a continuous period of time. At your discretion, you also executed an internal move for these people in the system. You posted the costs for these rooms in Controlling.
