Function documentationPlanning and Preparation of Talent Review Meetings

During the planning and preparation phase you create a talent review meeting and define all basic information such as title, date, participants, and support team. You then compile the agenda for your talent review meeting and check whether the managers responsible have already nominated their talents.

Prerequisites

See Talent Review Meeting.

Features

Planning
  • You can specify the details of the talent review meeting such as title, date, and language.

  • You can select the type of talent review meeting. You thus determine the following:

    • Which calibration grid is used in the talent review meeting.

      Note Note

If no calibration grid is defined for the type of talent review meeting, the talent review meeting uses the calibration grid defined for your enterprise in Customizing under Specify Grid to Be Used.

      End of the note.
    • Which follow-up activities you can perform.

For more information about possible follow-up activities, see Follow-Up Activities of Talent Review Meetings.

  • You can assign a category for the talent review meeting, for example, Global or Local.

  • You can assign a level to the talent review meeting.

You thus specify for which hierarchy level the talent review meeting is conducted. If a talent is discussed in more than one talent review meeting, the performance classification and potential classification that you made in the talent review meeting at the highest hierarchy level are decisive.

  • You can specify for which organizational unit or organizational units you want to hold the talent review meeting.

You can select any of the organizational units to which you are assigned as the responsible talent management specialist. For more information, see Organizational Basics of Talent Management.

When making a selection, you can assign the managers of the selected organizational unit as well as of the lower-level organizational units to the talent review meeting as participants.

  • You can add different or additional participants.

You can search directly for the names or personnel numbers of the required participants, or use the advanced search that provides you with numerous additional search criteria.

  • In the list of participants you can see how many talents each participant has already nominated.

  • You can assign a support team to the talent review meeting.

When you create a talent review meeting you are assigned as the processor. You can add other talent management specialists to the support team and assign different roles to the team members, for example, Minute Taker. All support team members have the same authorizations for planning and preparing the talent review meeting, and for holding the talent review meeting.

    Note Note

In addition, those users that have display or change authorization for the related infotype record of the Object infotype (1000) have display or change authorization for a talent review meeting. The infotype record is identified by the RM object type and the ID of the talent review meeting.

Users with display authorization for this infotype record can call the functions for planning, preparing, and holding the talent review meeting in display mode. Users with change authorization for this infotype record can call these functions in change mode.

    End of the note.
  • You can create a handout that you can print out and distribute to the participants of the talent review meeting in advance.

When creating the handout, you can select which of the agenda topics for discussing talents are to be included in the handout. You can insert the following information into the handout for each agenda topic:

    • Talent list

    • Calibration grid

    • Talent profiles of assigned talents (short profiles or detailed talent profiles)

You can check your settings for the handout by displaying it as a preview.

For more information, see Talent Profile in Print Format.

  • You can set different statuses for the talent review meeting. For more information, see Status Changes for Talent Review Meetings.

Preparation
  • In the talent monitor, you can display an overview of the nominated talents and their managers.

For more information, see Talent Monitor.

  • You can create the agenda for the talent review meeting.

You can insert the following types of agenda topics:

    • Folder

Forms a structure level for the agenda. You can insert a general agenda topic or an agenda topic for talents below a folder.

    • General agenda topic

Agenda topic in which you do not discuss any talents. You can upload attachments for such an agenda topic.

    • Agenda topic for discussing talents

The following functions are available for such an agenda topic:

      • You can assign talents. To do so, proceed as follows:

        • You can search for the names or personnel numbers of the required talents.

        • You can use the advanced search that provides you with numerous additional search criteria.

        • You can select talents from the talent monitor.

      • You can store the following types of notes:

        • Private notes

These notes are not visible during the talent review meeting. The processor of the talent review meeting can create, display, and edit these notes while planning, preparing, and following up on the talent review meeting.

        • Notes for the presentation

These notes are visible for all participants during the talent review meeting.

      • You can delete the assignment of a talent to an agenda topic.

        Note Note

If you remove a talent from the agenda topic, the system also deletes the notes that you entered for this talent.

        End of the note.
      • You can select the Checked checkbox for the talents. This checkbox shows that you have checked whether all the information required for the talent review meeting is available for the talent.

      • When you select an agenda topic for talents while holding a talent review meeting, the assigned talents are displayed together in the calibration grid or the list view. For more information, see Holding of Talent Review Meetings.

  • You can rename created agenda topics retroactively, move them down or up in the agenda, or delete them from the agenda.

  • You can display a preview of the talent review meeting.

You have the same options as when holding the talent review meeting, except that you are not able to make changes.

For more information, see Holding of Talent Review Meetings.
