 Creating and Assigning External Objects from Real Estate Objects

Use

In master data processing, you can use the following functions for real estate objects:

Assign functional locations belonging to Plant Maintenance (PM)

Create and edit notifications and orders on functional locations

Create and assign fixed assets of Asset Accounting (FI-AA)

Assign WBS elements

Assign CO orders

Procedure

There are two procedures:

You are using only the usage view. Then create functional locations in the usage view.

You use the architectural view. Then we recommend that you create the functional location structure in thearchitectural viewrather than in theusage view, since the architectural view is better able to reflect the physical structure of your real estate objectsHowever, make sure that you also make Customizing settings for architectural objects.

You can also automatically create or make settings for functional locations from usage objects and architectural objects.

A functional location should be createdautomatically

In this case, the system generates and assigns one functional location per real estate objectAutomatic update does not take place. You can assign additional functional locations manually if you created them already in Plant Maintenance (PM).

You can manually assign functional locations for a specific time period. Using the Management of Time Slots function, you can display and change them.

A functional location should be created and updatedautomatically

In this case, the system generates one functional location per real estate object, and it is updated as necessary. You can assign additional functional locations manually in the object if you created them already in Plant Maintenance.

By update, we mean that any later changes to the master data of the real estate object are automatically updated in the master data of the functional location (such as a change within the object hierarchy).

A functional location must be created and updatedmanually

If you have selected the setting for manual maintenance of functional locations, the system does not generate functional locations for this object. As in cases 1 and 2, you can still assign additional functional locations manually in the object if you created them already in Plant Maintenance.

You canchangeanddeletemanually assigned functional locations.

In Customizing, you can define which type of maintenance notification you can create for each object type. You can also enter the transaction that is used for entering the notifications. Make your settings in Customizing by choosing:

Make the Customizing settings for the assignment of fixed assets, WBS elements, and CO orders by choosing:

Here you define which external objects are permitted for each real estate object type.

Here you define whether the object assignment should be unique, or whether you can assign several objects to the real estate object.

Master Data Processing

Depending on the settings for the usage view or architectural view, you have different options in master data processing of real estate objects.

Example:

The Customizing settings for the following real estate objects of the usage view specify that functional locations can be created automatically for these objects:

Building

Land

Rental object

Business entity

You also specified in Customizing that service notifications (maintenance notifications) can be created for the object types building and business entity

To display the functional locations on the objects of the usage view and to create notifications and orders for them, and assign fixed assets, WBS elements, and CO orders, on the SAP Easy Access screen, choose:

AccountingFlexible Real Estate ManagementRE Navigator<object from usage view> .

You already specified in Customizing the objects for which the system should automatically create functional locations (see Prerequisites).

Choose the Assignments tab page.

In the object hierarchy, you see the assigned functional locations and the maintenance orders for them, along with any assigned fixed assets, WBS elements, and CO orders.

Choose with the quick info text Display Object to go to the master data display for the functional location in Plant Maintenance

Choose with the quick info text Assign . In the dropdown menu box select the type of object you want to assign, for example, Asset. (Based on the Customizing setting, functional locations are created automatically and do not need to be added manually).

You can select or create assets here.

The pushbutton for creating an asset is not visible if an asset is already assigned or you have selected an asset. The uniqueness of the object assignment was specified in the Customizing settings (see point 3 in Prerequisites above).

You select WBS elements and CO orders in the detailed screens using input help and save your entries.

On the detailed screens for the assigned objects, you see the description, validity, and superordinate objects.

To enter a notification on a functional location, proceed as follows:

On the Notifications tab page, you can see malfunction reports on this functional location and enter new malfunction reports, if needed.

Choose with the quick info text Create Notification. You previously defined the possible types of notifications that you can enter here in Customizing (see Prerequisites).

The Create PM Notification: Real Estate Notification screen appears in the PM component.

Enter all the necessary data for the notification and save your entries.

The procedure for creating an order for the functional location is approximately the same as for entering a notification.

Result:

The system displays the notification you entered on the Notification tab page for the functional location in the usage object master data.

You can also display the functional location structure in the Plant Maintenance component. On the SAP Easy Access screen, choose:

You can display the assigned functional locations, orders, order values, and depreciation of objects in the information system and in BW reporting.
