 Editing Apportionment Rules

Use

Apportionment rules contain settlement variants and allocation rules. They are needed for creating settlement units .

Prerequisites

You defined settlement variantsin Customizing. Choose:

You can also define default values in Customizing for the allocation rule separately for each service charge key. These default values can be changed on the settlement unit.

Activities

Assign Settlement Variant

First assign the required settlement variants with their validity dates. Settlement variants must be created in Customizing and cannot be changed on the settlement unit.

Assigning, Changing, or Redefining Allocation Rules

Normally, the measurement type on which apportionment is based (such as residential/usable space) is defined as a default value in the attributes of the service charge key. If you want to apportion the service charges based on a more complex rule (such as 30% by consumption and 70% by residential/usable space), you can define and assign this rule in Customizing (see above) or specify it individually on the settlement unit.

  • It is no longer possible to change a settlement variant and measurement once the variant has generated cost collectors.

  • It is still possible to change the settlement variant and measurement if the variant has cost collectors that were not yet generated , in other words the status of the cost collector is New.

    In this case, a system message informs you that the cost collectors will be generated again.

    Specify purpose of service charge apportionment

    Costs that are incurred in a settlement unit can be apportioned according to their purpose. Example of purposes:

    • Landlord/tenant apportionment

    • Owner apportionment* (if the apportionment for a condominium owners’ association [COA] settlement is different from the apportionment from landlord to tenant)

    • (If a meter is defined on a settlement unit and the total amount is larger than the total of the lower-level meters, the difference should be apportioned to the landlord o Remaining landlord/tenant apportionment* r all tenants by this measurement type.)

    • Owner remaining apportionment*

    • If no measurement can be determined

    • * Informational only

    Assign measurement type

    You can assign a measurement type for each allocation rule or change the proposed measurement type and define the share of the service charges to be apportioned.

    Define vacancy percentage ratefor each measurement type

    Enter the percentage of the costs borne by the landlord for vacancies.

    Enter 80%, for example.

    This means that when the service charges are settled based on a settlement variant, the system:

    a) Posts 80% of the calculated costs of a vacancy of a rental objectto the rental object in question

    b) Distributes the remaining costs to the other participating tenants according to the measurement factors
