 Editing a Vacancy Reason

Use

The reason for vacancy is the reason why a rental object can be vacant for a specific period. You can set this manually on the rental object or the system sets it automatically if certain events occur that can lead to a vacancy. For more information, see Reason for Vacancy

Prerequisites

Customizing settings are necessary for the vacancy reason. For more information, see Reason for Vacancy .

Procedure

  1. To create or change a vacancy reason for a rental object, on the SAP Easy Access screen, choose:

    Start of the navigation path Accounting Next navigation step Flexible Real Estate Management Next navigation step RE Navigator Next navigation step Rental Object. End of the navigation path

  2. Choose the Occupancy tab page.

    Here you receive an overview of the availability of a rental object over time. Along with assigned occupancy contracts, you see when the object is vacant.

    You can add new vacancy periods here and change vacancy reasons. You can prevent the rental object from being rented during a given vacancy period, for example if the object is being renovated. You can also replace default posting terms that were proposed for a given vacancy period.

    You can make the following entries for each vacancy period:

    1. with the quick info text Add Vacancy

      You can also insert a new vacancy period within an existing vacancy period. You can enter only enter those vacancy reasons here, for which you specified in Customizing that the vacancy reason can be set manually.

    2. Changing the vacancy reason

      You can replace an existing vacancy reason with a different one. The same restriction applies as for Add Vacancy .

    3. Rental influence

      Choose the appropriate entry, for example, to ensure that the rental object is not rented during the vacancy period. A warning or error message appears in subsequent processes depending on the setting.

    4. Posting term

      Here you can also replace a default posting term that is valid for a given vacancy period with a different posting term. If you enter a posting term that does not exist in this table then this is generated automatically. To edit it, go to the Posting Parameters tab page .

  3. To create or change the default term for this rental object, which should be copied when this change reason occurs, choose the Posting Parameters tab page .

    If this is set up in Customizing then a default posting already exists. In this case, enter the object to which the costs should be assigned.

  4. If you want to enter an additional different cost center or a new default term, choose with the quick info text Template Vacancy Postings .

    You can make the following entries on the detail screen:

    1. Description

      The description is proposed and can be changed manually.

    2. Account Determination Value

      You entered this in the Customizing on the vacancy reason and can be selected here.

    3. Account Assignment Object

      Here you can choose between cost center, order, and project. Specify the appropriate object for this and save your entries.

Result

The template posting term was changed or recreated and you can now assign it to the appropriate vacancy reason on the Occupancy tab page.

Subsequent Processes

If you have defined conditions for the vacancy rent for the rental object then you can post the costs to the specified account assignment using periodic postings.
