Postprocessing Clarification Cases in Payment Lots

Features

If you have authorization 107 for authorization object F_KK_SOND, you can make changes to fields in payment lot items during clarification. These fields are normally not allowed to be changed. In the case of automatically-created payment lots, you can change the bank data of the payer and the note to payee. These kind of corrections are necessary, for example, if a data reader did not correctly interpret some characters in a handwritten note to payee. The fields on the Payment Data or Note to Payee tabs become ready for input when you choose Start of the navigation path Edit Next navigation step Change Bank Data End of the navigation path on the detail screen of the payment lot item.

Activities

Clarification Processing

  1. Depending on how you want to process clarification cases, choose one of the following paths.

    If you want to postprocess the clarification cases of a lot, choose:

    • The role Incoming payment processing (SAP_FI_CA_INCOMMING_PAYMENTS) and there choose Process Payment Lot

    • On the SAP Easy Access screen Start of the navigation path Payments Next navigation step Payment Lot End of the navigation path

    Enter the key of the payment lot and choose Postprocess.

    If you want to find a payment, choose:

    • The role Incoming payment processing (SAP_FI_CA_INCOMMING_PAYMENTS) and there choose Find Payment

    • On the SAP Easy Access screen Start of the navigation path Payments Next navigation step Clarification Activities Next navigation step Find Payment End of the navigation path or Find Payment (User-Defined Search)

    After you have entered the selection criteria, this report searches for suitable payments in the payment lots. For more information, see the program documentation.

    If you want to call the clarification worklist, choose:

    • The role Incoming payment processing (SAP_FI_CA_INCOMMING_PAYMENTS) and there choose Clarification Processing: Payment Assignment

    • On the SAP Easy Access screen Start of the navigation path Payments Next navigation step Clarification Activities Next navigation step Payment Assignment End of the navigation path

    Enter your criteria on the selection screen, and choose Execute. Note that clarification cases are filtered according to their status before they are displayed (for example, cases already clarified or those blocked by another user). This means that the full list of clarification cases might not be displayed.

  2. Select the clarification worklist item you want to process, and choose Start of the navigation path Edit Next navigation step Clarify End of the navigation path. You can then use the following functions:

    Post a payment

    Normally you first have to correct your selections. You can now post the payment on account or with clearings.

    If you want to post on account, also select the Post on Acct field.

    Transfer a payment

    In the Transfer Posting To field, enter the key of the transfer account that is entered in Customizing.

    Request a repayment

    Select the Repayment field, and enter the repayment method along with the necessary bank data and the note to payee for the repayment.

  3. If you have to assign the payment manually to the open items, you can post the item - once you have processed it – by choosing Start of the navigation path Edit Next navigation step Post Item End of the navigation path or Post Item Online.

    Note Note

    In special circumstances, you can also post clarification cases automatically. For example, if clarification cases arose because invoices were not yet transferred to the system, you can use the Post Again function. A note text appears informing you when this approach is useful.

Search Using TREX

To be able to use the search engine, you have to create a search index and regularly transport entries that have been changed or added.

  1. To do so, first set up a TCP/IP connection to the TREX server. In SAP Customizing, choose Start of the navigation path SAP NetWeaver Next navigation step SAP NetWeaver Application Server Next navigation step IDoc Interface/Application Link Enabling Next navigation step Communication Next navigation step Create RFC Connections End of the navigation path.

  2. Then make the necessary system settings using the administrative transaction COM_SE_ADMIN. Choose Start of the navigation path Goto Next navigation step Customizing Next navigation step System Settings End of the navigation path to select a TCP/IP connection to the TREX server. Under Business Objects and Indices, check if the business object CA_INCPAY was already created. If not, create it. The class for this business object is CL_FKK_SEARCH_PLOT. See the documentation of the individual fields when making the settings for the object. This documentation offers guidelines for entering useful values. You can also create and activate the index in the transaction.

  3. Specify the creation date, starting from which payment lot data is to be added to the search engine, and specify whether archived data is also considered during the initial upload. You do so in Customizing for Contract Accounts Receivable and Payable under Start of the navigation path Business Transactions Next navigation step Payments Next navigation step Processing Incoming and Outgoing Payments Next navigation step Parameterize Search Engine End of the navigation path.

  4. Create the initial search data using report COM_SE_DISPATCHER. You can also use the report subsequently for transferring changes to the dataset. Schedule this report to run in the background. For transferring changes, it is recommended that you schedule the report to run regularly (such as once or more each day) so that the search data remains as up-to-date as possible.

  5. In the activity Parameterize Search Engine in Customizing for Contract Accounts Receivable and Payable under Start of the navigation path Business Transactions Next navigation step Payments Next navigation step Processing Incoming and Outgoing Payments End of the navigation path, specify the date, starting from which you want the search to take place using the search engine.
