 Planning Rental Spaces

Use

Using this planning function, you can extract rental spaces directly from a pooled space with reference to the architectural view, or you can change rental spaces. To do so, you select based on architectural objects or usage objects. In the structure display, you see existing pooled spaces and how much space is already tied up in existing contracts. You can extract rental spaces from these pooled spaces. You can also create new contracts for these rental spaces.

Prerequisites

You created architectural objects (if you want to link to the architectural view.) Pooled spaces are already assigned to the architectural objects that you want to use for planning rental spaces.

You created pooled spaces (if you want to link to the usage view.)

Procedure

On the SAP Easy Access screen, choose

Plan Occupancy Related to Usage View

On the selection screen, enter the architectural objects to which you want to assign pooled spaces.

Enter the company code and the measurement type you want to use to select with.

The second measurement type is an optional entry. It is displayed as a second structure.

In the Key Date field, enter the date on which you want occupancy planning to start.

Choose with the quick info text Execute.

The Occupancy Planning of Architecture (or Usage ) screen appears. There you see the structure of the architectural or usage objects, their measurements, the pooled spaces and their capacity and possibly the rental contracts related to the objects.

The next two paragraphs explain the procedure based on whether you select the architectural view or usage view.

Occupancy Planning of Architecture

You want to extract rental spaces from a pooled space to which one or more architectural objects are assigned, such as whole floors or several open plan offices.

You can use this function to assign usage objects (rental spaces) to architectural objects and adopt the architectural measurements either completely or partially.

On the Occupancy Planning for Architecture screen, the architectural objects that have pooled spaces assigned to them are highlighted in blue.

To extract a rental space from a pooled space, select the architectural objects that have pooled spaces assigned to them and choose Change Occupancy .

A new row appears. Enter the planned rental space number and the planned measurement amount. The measurement amount you enter determines if the assignment is complete or partial.

If you want to group several architectural objects together in a rental space, then it is not enough to enter the same planed rental space number for them. You also have to enter the same planned contract number.

Only the first measurement type is transferred to the rental space. All other measurements on the architectural object are currently not considered here.

Occupancy Planning of Usage

You can use this function for mass processing of extracting rental spaces.

On the Occupancy Planning of Usage screen, you see pooled spaces and the rental spaces that belong to them.

To extract rental spaces from a pooled space, or change existing rental spaces, select a rental object and choose Change Occupancy .

A new row appears. Enter the planned measurement amount.

To change the measurement of an existing rental space, enter the new measurement amount in the planning column and choose Plan -> Actual.

Assign contract

Enter the contract that you want the planned rental object to be assigned to in the Plan Contract column.

To create a new contract for a rental space, select one or more rental spaces and choose Contracts with the quick info text Create Contracts .

The rental spaces have to be created already before you can create the contracts.

If you want to assign several rental spaces to one contract during planning, then enter the same plan contract ID for the rental spaces. (The contract does not have to be a real contract.)

The number X in the Utilization column shows the amount of rental objects linked to rental contracts. 100% is XXXXX .

Check the rental spaces being created

To check that the measurements of the rental space being created do not exceed the measurements on the assigned pooled space, and to simulate creating the rental space, choose Plan -> Actual.

Create planned rental space

To create the planned rental space, choose Plan -> Actual .

Result

The rental spaces are extracted from the selected pooled spaces when you save, and assigned to architectural objects and contracts, if you made these selections.

The usage type is copied from the pooled space, but you can overwrite it.

To process rental spaces individually, on the SAP Easy Access screen choose Accounting Flexible Real Estate Management Usage Master Data Rental Object Process Rental Object.
