Depending on where you want to display the performance or potential of an employee, the system determines the valid performance value or potential value for the employee. For example, the performance values and potential values that are displayed during a talent review meeting can deviate from the values that are displayed in the talent profile for this employee.

Features

When determining the valid performance value and potential value, the system takes the following factors into account:

  • Validity Period of the Infotype Records

    The infotype records of the infotypes Performance (7409) and Potential (7408) generally have a validity period of a year.

  • Change Date of the Infotype Records

    Regardless of the validity period, each infotype record has a change date.

    Example Example

    If, for example, the system creates the infotype record based on a manager's assessment, it uses one of the following dates as the date of change:

    • For talent assessments: The date on which the manager completes the appraisal document

    • For employee assessments with flexible appraisal processes: The date on which the manager sets the appraisal document to the status In Talent Review Meeting

  • Analysis Periods and Key Dates for Performance Values and Potential Values

    In Customizing for Talent Management and Talent Development, analysis periods and key dates are specified for performance values and potential values, which the system uses to determine the performance value and potential value.

    Example Example

    In Customizing, January to December is specified as the analysis period for performance values. December 1 of the previous year is specified as the key date for analyzing performance values.

  • ID of the Talent Review Meeting

    The system defines the ID of the talent review meeting in the infotype records that it generates based on a talent review meeting.

    If the system determines the performance values and potential values within talent review meetings, it takes the ID of the talent review meeting into account. If it determines the values for the talent profile, for example, it does not consider the ID.

  • Level of the Talent Review Meeting

    The system stores the hierarchy level of the talent review meeting (for example, Middle Management or Top Management) in the infotype records that it generates based on a talent review meeting.

    The system always takes the level into account, regardless of whether it determines the performance values and potential values inside or outside talent review meetings.

The status of the performance values and potential values is not significant for determining the valid values.

Activities

Basic Procedure

The system determines a current performance value and potential value as well as one or more previous values. It proceeds as follows:

  • For the current value, the system uses the infotype record that is valid in the current analysis period for the specified key date.

    It checks the analysis periods and key dates stored in Customizing and determines the correct period and key date for the current date. The system uses one of the following dates as the current date:

    • Outside talent review meetings: current system date

    • Inside a talent review meeting that has not been completed: current system date

    • Inside a completed talent review meeting: date of completion

    Example Example

    In the example mentioned above, you want to display the current performance value for an employee for the current system date March 20, 2011. The system then uses December 1, 2010 as the key date.

  • The system uses the infotype record that was valid on this key date in the previous analysis period as the previous value.

    Example Example

    In the example mentioned above, you want to display the previous value for the current system date March 20, 2011. The system then uses December 1, 2009 as the key date.

Procedure If More Than One Infotype Record Exists

If more than one infotype record exists for the key date, the system proceeds as follows:

  • Determination of the Current Performance Value and Potential Value

    The system proceeds differently here, depending on whether it determines the value inside or outside talent review meetings:

    • Determination of the Current Performance Value and Potential Value Within Talent Review Meetings

      The system proceeds as follows:

      • It uses the infotype record in which the ID of the talent review meeting is stored.

      • If no infotype record exists for the talent review meeting, the system proceeds as follows:

        • It checks the level of the talent review meeting that is stored in the infotype records and uses the infotype record with the highest level that is lower than the level of the current talent review meeting.

        • If there is more than one infotype record with this highest level, or if no level is stored in the infotype records, the system uses the newest infotype record (meaning the one with the most recent change date).

    • Determination of the Current Performance Value and Potential Value Outside Talent Review Meetings

      The system proceeds as follows:

      • It checks the level of the talent review meeting that is stored in the infotype records and uses the infotype record with the highest level.

      • If there is more than one infotype record with this highest level, or if no level is stored in the infotype records, the system uses the most recent infotype record (meaning the one with the latest change date).

  • Determination of the Previous Performance Value and Potential Value

    If the history of performance values and potential values is to be determined, the system does not differentiate between whether the values are displayed inside or outside talent review meetings. Therefore, it always proceeds in the same way as for determining the current performance value and potential value outside talent review meetings.

Procedure for Talent Profile for Managers and Talent Management Specialists

In the talent profile for managers and talent management specialists, the current performance value and potential value of a talent as well as multiple previous values are displayed in the overview. In Customizing for Talent Management and Talent Development under Start of the navigation path Talent Profile Next navigation step Overview Next navigation step Specify Properties of Categories for Talent Profile Overview End of the navigation path, you specify the number of values that are displayed.

When determining the values, the system proceeds as follows:

  • It determines the existing infotype records and their validity periods.

  • For each validity period, it determines exactly one value.

    Thereby, it proceeds as described under Determination of the Current Performance Value and Potential Value Outside Talent Review Meetings.

  • If no infotype record exists for a validity period because the talent has not been appraised in this period, the system does not display a value for this period. Instead, it skips the period and continues with the next available period.

Example Example

In Customizing, you have specified that the current performance value and potential value, as well as two previous values, are displayed.

The following infotype records exist for an employee:
