 Clarification Processing (Payment Program)

Use

Payment exceptions are automatically included in the clarification worklist. By branching from the worklist to the document or the contract account, you can determine whether the exception is correct. You may have to reset locks; in this case the items in question would be processed and possibly paid in the next payment run.

An error level (for example, contract account or document) is determined for each exception. One entry is written in the clarification worklist for each error level.

Example Example

If there is a lock in a contract account and it prevents ten items from being paid out, there are ten exceptions in the payment list but only one entry in the clarification worklist since the error level in this case is "contract account" and can be removed by a change to the contract account.

Prerequisites

In order for a payment exception to be included in the clarification worklist, the item indicator must be marked as "to be clarified". If a lock reason has been set, this lock reason must also be set to "to be clarified". Features

For clarification worklist processing, you can assign a clerk to individual cases for clarification in Customizing using the role definition feature (similar to SAP workflow). This accounting clerk then receives only those clarification cases within his/her worklist for which he/she is responsible within the organizational structure linked to the role. The system evaluates the units of your organizational structure to determine the clarification cases needing processing. Clerks can restrict the selection of clarification cases for processing using selection criteria. One way of doing this would be to enter a company code when calling the function for clarification processing. The fields that are displayed on the selection screen for selection items are defined in Customizing. Clarification items can be processed by several accounting clerks at once. When viewing the clarification worklist, items can be reserved for a particular clerk, thereby preventing them from being processed by other clerks. A clerk may also choose to cancel this reservation. You can also impose a time limits on locks in Customizing. After the lock interval has expired, the clarification cases can be accessed by all clerks.

To refresh the clarification worklist you can either:

  • Refresh the status information (this only updates the status of the individual clarification cases). You can now see which clarification cases were locked or clarified by other accounting clerks since the previous update.

  • Reselect the list: The system reselects items in line with the selection criteria you entered on the selection screen when you first called up the list. If you choose reselection, those items that have been clarified or locked by other users no longer appear.

You can display a detailed overview containing the attributes of each clarification case. If you activated use of notes for clarification cases in Customizing, the system now displays notes for the clarification case. If the clarification case was locked by a user, you can add your own notes to it.

You can use the Urgent Clarification Cases Only function on the selection screen for incoming payment clarification. This ensures that only those clarification cases that require immediate processing are displayed.

You can define the specifications for the urgency of a clarification case in the system settings ( Contract Accounts Receivable and Payable Implementation Guide under: Start of the navigation path Technical Settings Next navigation step Prepare Processing of Clarification Worklist End of the navigation path ).

A MiniApp is available in the mySAP.com Workplace for displaying urgent clarification cases. This means that when you log on to the system, you immediately get an overview of the urgent clarification cases. You can then use this MiniApp to go directly to the clarification worklist for the urgent clarification cases.
