Medical Record Management supports the organization of medical records within your hospital by managing the availability of medical records and their assignment to patients. Moreover, Medical Record Management supports the borrowing of medical records and the creation of reminders for borrowed records that are overdue.

It is designed in such a way that other documents can also be managed using different document types.

Medical Records Management does not support the creation, editing or management of the contents of medical records or other document types.

Implementation Considerations

System Settings

You can specify the procedure for creating and borrowing medical records in Customizing for IS-H as follows:

  • Per institution

  • Per institution and organizational unit

You use organization forms to specify which events trigger the creation of a medical record. You can either make separate settings for the inpatient and outpatient areas, or use an organization form common to both areas.

Here, you also specify the procedure with which you create, borrow and transfer medical records.

Features

Within Medical Record Management you can create, change, display and cancel medical records.

Additional functions enable you to request, borrow, transfer and return existing medical records.

You can evaluate borrowed medical records according to different criteria. In this way, you can determine the medical records for which reminders are to be created, for example.

You can display all of the medical records which exist for a patient using the medical record list. This list provides all the functions for processing medical records.

Value Help (F4) for Document Number

You can search for the document number using the case number and departmental organizational unit (OU) in the following transactions:

  • Return Medical Record: Collective Entry (transaction ND04)

  • Borrow Medical Record: Collective Entry (transaction ND13)

To search for a document number by case number and departmental OU, you can enter appropriate values in the fields Case and Departmental Asgmt.

Subdivision of Medical Records

Medical Record Management allows you to manage complete medical records of a patient or document parts of the medical record. To use this function, enter a document part number when you create a medical record. This represents a part of a document that is maintained and managed as a separate document.

By using document part numbers you can subdivide large medical records into various volumes and can represent the borrowing of individual parts.
