To change the account assignment, the following prerequisites must be fulfilled:
In Customizing for Purchasing, you can configure for each account assignment category whether users in Invoice Verification can change it. ( )
A non-valuated goods receipt or no goods receipt must be defined for the purchase order item.
In Customizing, you can define whether the fields
Quantity
and
Amount
are ready for input on the multiple account assignment screen when you enter an incoming invoice. To do this, in Customizing for
Logistics Invoice Verification
, choose
.
In Logistics Invoice Verification, the quantity suggested by the system in the invoice items is the difference between the quantity delivered and the quantity already invoiced. The respective amounts result from the net order price. You cannot change the quantity and value in the invoice items, you can only change them on the account assignment screen.
On the account assignment screen, the system suggests the account assignment items that were planned in the purchase order, even if an invoice in which the account assignment was changed or new account assignments were added has already been posted.
If you have changed the account assignment information, the changed account assignment information is saved in the invoice document when the invoice is posted.
If you have entered a multiple account assignment in a purchase order, then you can jump to the multiple account assignment screen when entering the invoice receipt at item level by choosing
with the quick info
Multiple Account Assignment
.
The system distributes the item quantity to the account assignments, taking the related goods receipt into account, and determines the amount from the current net purchase order price. If you have allowed changes to the quantity and amount in Customizing, you can change the distribution proposed by the system manually. You can use the Business Add-In (BAdI) MRM_PROPOSAL_DETERMINE to adjust the proposal logic, to match customer-specific requirements.
If you change the amount or quantity at item level, the system automatically determines new distribution proposals for the individual account assignments. You can use the BAdI MRM_DISTRIBUTION_MAAS to adjust proportional distribution to account assignments according to customer-specific distribution logic.
Note
You can also use the BAdI MRM_PROPOSAL_DETERMINE for purchase orders without account assignments.
If the invoice receipt quantity for an account assignment is different to the goods receipt quantity, the system cannot settle the GR/IR clearing account automatically. The following reasons for these differences may apply:
You receive an incorrect invoice.
You are using Business Add-In (BAdI) MRM_PROPOSAL_DETERMINE with alternative distribution logic, instead of the standard distribution logic.
To settle the GR/IR clearing account subsequently, on the
SAP Easy Access
screen choose
(transaction MR11). The system then settles the GR/IR clearing account subsequently.
Note
In the context of transaction MR11, the system also resets the commitment to the correct value. This information is important for the downstream application components (for example, controlling and financial accounting), ensuring that existing commitment values can be reduced correctly).
If you enter an invoice before the first goods receipt, the system does not copy the distribution defined in the purchase order and propose it in the invoice. If you implement the Business Add-Ins (BAdI) MRM_PROPOSAL_DETERMINE, the system does copy the default values you defined there.
You can display or change the account assignment items.
To do this, choose the display variant
Acct assignment - asset, order
for the invoice items.
If you want to display or change the account assignment information, click on
Mult. Acct assgt
in the column
Acct Assgt
and on the invoice item in question.
The account assignment screen appears. The system displays the planned account assignments here.
If you can change the account assignments, the fields on the screen are ready for input. In this case, you can also add more account assignment items.
If you have changed the quantity or the value in the account assignment items, the system refreshes the total quantity and total amount in the invoice items.
Note
In the case of multiple account assignment with amount-based distribution, the system displays only the total quantity of all selected items. It does not display quantities for each account assignment item.
