Create Guided Buying Custom Field

Creation of a custom field in SAP Fieldglass enables capturing and routing context parameter values from S/4 HANA WorkOrder workflows, allowing automated data integration with Guided Buying or Ariba P2P based on workflow context. This setup supports accurate and efficient data processing in Statements of Work and related bids.

Context

This task focuses on configuring a custom field that stores a context parameter passed through a Guided Buying URL from an S/4 HANA WorkOrder. The configuration ensures that the context value appears in SOW Bids and SOWs and determines whether line item data routes to Guided Buying or to ARIBA P2P. The process includes defining the custom field’s attributes, updating its internal reference, and ensuring it maps correctly to SOW templates that support the Guided Buying Request for Estimate workflow.

This task can be performed by the Buyer's Admin.

Procedure

  1. On the buyer's Admin Configuration menu under Configuration, choose Custom Fields.

    The Custom Field List page opens.

  2. Choose New. The Add New Custom Field page opens.

  3. Create a custom field named GB Workflow
    1. Define the following custom field values:
      1. Module: Statement of Work

      2. Name: GB Workflow

      3. Affects All Active Templates: No

      4. Applies To: SOW and SOW Bid

      5. Mandatory Value: No

      6. Read Only: Yes

      7. Entered By: Buyer

      8. Entered by Roles: All Roles

      9. Affects All Active: Suppliers, Business Units, Sites

      10. Data Type: Text

      11. Copy Value from Source SOW: Yes

      12. Sequence: 0

      13. Store Data Encrypted: No

      14. Section: Details

      15. Placement: Bottom

    2. Select Add.
  4. As a System Administrator go to the Company Configuration page and select Start of the navigation pathActions Next navigation step Edit Custom FieldsEnd of the navigation path.
  5. Search for and select GB Workflow. The Edit Custom Field page opens.
  6. In the Internal Reference field select GB_Workflow from the dropdown menu.
  7. Select Update.
