After taking this tour, you will be able to reimburse your employees for the charging costs they incurred while charging at home.

To enable this functionality, you have to connect SAP E-Mobility to SAP Concur.

In the next step, you define the reimbursement rates.

If you want to create custom tariffs for specific charging stations, make sure that these charging stations are already connected to SAP E-Mobility.

Then you have to maintain entitlements for those employees that are eligible for reimbursement.

After you've connected SAP E-Mobility to SAP Concur and entered your reimbursement rates and entitlements, your employees can start charging their vehicles at home. SAP E-Mobility calculates the costs based on the price per kWh that you entered for your tariffs. The amount is then sent to SAP Concur as an expense. You can also view the amount for each charging session in the Monitor Charging Sessions app in the field Cost.

Prerequisites

Make sure that the SAP E-Mobility roles SAP_EMSP_Administrator and SAP_EMSP_Manager are assigned to your user. We recommend using them in a role collection, which you can read more about under Defining and Bundling Roles. Please also make sure that you are assigned an administrator role in SAP Concur (Concur Administrator or Web Services Administrator). If you are missing one of these roles, you will receive an error message when trying to connect to SAP Concur.

Connecting to SAP Concur
  1. Go to the SAP Concur MarketplaceInformation published on non-SAP site and select Connect.

  2. After that you will be redirected to SAP E-Mobility, where you have to enter the identifier for your datacenter region and select Ok.
    Note Please note that the identifier for the datacenter has to be the same identifier you used for your subaccount.
  3. Enter your SAP BTP subdomain as the Tenant Name and select Connect. The SAP BTP subdomain can be found in the SAP BTP Subaccount Overview.

    During the process you can be redirected to your identity provider and asked to sign in using your credentials, if you haven't entered them yet. If you have a certificate, this step will work automatically.

Configuring Your SAP Concur Connection

You can find out how to configure your SAP Concur instance in Configuring Your SAP Concur Connection.

After you have connected to SAP Concur and configured your connection, you can enter reimbursement rates.

First, you need to define a default tariff to be used for the cost calculation. This tariff is used if no other tariffs for charging stations exist. To enable your employees to be reimbursed for charging their vehicles at home, you have to maintain a reimbursement rate.

To do so, please open the Settings app.

Please enter the price per kWh.

Please enter a currency.

Select the Back button to go back to the home page.

To create a tariff for different charging stations, open the Manage Tariffs app.

Choose Create.

Give your tariff a name, enter a price per kWh and a currency.

To assign a charging station to your tariff, select Add.

Select this icon to access the charging station list.

Choose a charging station.

Once you have completed this guided tour, you can return here to assign other charging stations to your tariff.

Select Create to save your tariff.

You've now defined the reimbursement rates.

Go back to the home page to start maintaining the reimbursement entitlements.

To enable your employees to be reimbursed for charging their vehicles at home, you have to define entitlements for eligible employees.

To do so, please open the Manage Badges app.

Note This step can only be done once you've configured your connection to SAP Concur.

Select the badge for the employee you want to reimburse.

Choose Edit.

Please enter an SAP Concur User Login, which represents the employee's login information for SAP Concur.

Choose the icon.

Select the EVSE from the list that references the EVSE of the home charging station for the employee.

Choose Save.

You have now enabled an employee to be reimbursed for their charging costs.

For more information, you can check:
  • The Monitor Charging Sessions app to see the cost of charging sessions that are in progress or finished.

  • The View Charge Detail Records app to see details of the charge detail records (CDRs) created once charging sessions are finished. To get information about the cost on a CDR, see the expense details in SAP Concur.

  • The View Reimbursements and the Manage Reimbursements apps (depending on your configuration) to confirm that a charging session is eligible for reimbursement.
