Displaying Absence Quota Information (Report RPTQTA10)
This report creates overviews of employees' absence quotas according to various aspects. You can display or print out employees' quotas, for example, for those who have entitlement remaining during a specified period.
You can also use additional selection criteria to restrict the absence quotas to be included in evaluation. You can choose which quota types are to be available for evaluation with which time units and deduction periods.
You can also display or print quota statuses from the past or in the future, as well as the current quota status. To do so, specify a Key date for deduction
and a Key date for entitlement
in the selection screen. This data is used in evaluation in the following ways:
If a selected employee has an absence quota available for evaluation:
His or her entitlement for this quota is calculated for the Key date for entitlement
, and
His or her quota deduction, remaining entitlement, and compensation for this quota is calculated for the Key date for deduction
.
You can carry out a projection of quota statuses
for the future so that your employees are informed of their expected leave entitlement. If the key dates (for entitlement and/or deduction) for a selected employee are the same or later than the earliest calculation date for Plant Data Collection (PDC) in the Payroll Status
infotype (0003), activating projection triggers a time evaluation run for this employee (RPTIME00 run in simulation mode).
You can further restrict employee selection from the selection screen. You can display or print out a list at the end of a year that shows the remaining and compensated entitlement for each employee.
The list contains the following data:
Personnel number
Name
Quota
Unit
Entitlement (total entitlement)
Quota used up to key date for deduction
Quota compensated until key date for deduction
Total quota remaining (= remainder on the key date for deduction minus the quota requested as of the key date for deduction minus the quota compensated as of the key date for deduction)
You can modify the list online to suit your requirements. You can save the modified list as a layout and then call it up again by selecting the Layout
field in the selection screen.
If there are transfer pools (that is, absence quota records that have not yet been transferred to the Absence Quotas
infotype (2006)) for the selected employees and quota types on the key date for entitlement
, you can choose the Transfer pools
button to display a list showing the transfer pool for each employee and quota type up to the key date for entitlement
.

(RPTQTA10: Combined Output List
) is available for activating the feature Combined Output List
.
When this feature is activated, the checkbox Cumulate Quotas and Transfer Pools
is available for selection on the selection screen.
When this checkbox is selected, this feature offers a complete picture of employee entitlements in one single output list. The output list displays:
Quota entitlements from IT2006 in the column Entitlement
Entitlements in the transfer pool (from cluster B2) in the column Transfer Pool
.
Entitlements from the transfer pool and quota entitlements in the column Overall Total
Entitlements from the transfer pool and quota entitlements on the given key date for entitlement in the column Overall Total on Key Date
.
When the feature is active, the column Overall Total
is visible in the output list and Overall Total on Key Date
can be inserted into this list.
Notes on Report Behavior
When this switch is on (value X
) you can form subtotals of numbers fields interactively for one or more columns. You do not have to select the checkbox Cumulate Quotas and Transfer Pools
for this feature to work.
You can turn on the TIMGT TPOOL
switch by setting it to “X”, using one of the following options:

Suppression of zero lines
When the entire report line comprises zero values, this line is suppressed from display. If you need to see these zero lines, deselect the checkbox Cumulate Quotas and Transfer Pools
and run your report again.
Empty cells in the columns Rem. on Key Date
and Total Remaining
In the columns Rem. on Key Date
and Total Remaining
an empty cell represents one of the following:
A zero, that is the calculation has resulted in a zero entry
No value, that is no values are available for calculation
Empty cell is a zero
In a report line, when one of the columns Rem. on Key Date
or Total Remaining
contains a value, the empty cell in the other column represents a zero.
Empty cell indicates that there is no value
In a report line, when both the columns Rem. on Key Date
AND Total Remaining
contain empty cells, this indicates that there is no value.
Restrict employee selection
In the Display
, you can restrict the number of employees as follows:
All selected employees
The output list also contains employees without selected absence quota records
Only employees with selected absence quota records
The output list then contains only those employee who were assigned at least one of the selected quota records.
You can restrict the selection further:
Only employees with entitlement
Only the employees whose total entitlement does not equal zero or lies within the specified interval are selected.
Only employees with remaining entitlement
Only the employees whose remaining entitlement does not equal zero or lies within the specified interval are selected.
Only employees with compensated entitlement
Only the employees whose compensated entitlement does not equal zero or lies within the specified interval are selected.
Only employees with used entitlement
Only the employees whose used entitlement does not equal zero or lies within the specified interval are selected.
If conditions for both quota entitlement and the remaining quota are set, then only the employees who satisfy both
conditions simultaneously
are selected.
You want to see an overview of the current amount of deductible absence quotas for employees in a particular personnel subarea. Furthermore, you want to know how much total entitlement results from these absence quotas, broken down according to cost centers.
Procedure
Access the selection screen for report RPTQTA10
.
Choose Current year
as the period.
Enter the relevant Personnel subarea
in the Selection
section of the screen.
Enter the current year as the Deduction period
in the Quota selection
section.
Choose Execute.
Choose Current display variant
and then transfer the Cost center
field to the list.
Select the Cost center
column in the list and then choose Subtotals
...
You want an overview of all deductible absence quotas for the employees in a particular personnel subarea, including any totals that are in the transfer pool in one single output list. You also want to see the subtotals for the transfer pool quotas.
Procedure
You have activated the TIMGT TPOOL
switch as described in the section Combined Output List

1. Call the selection screen for report RPTQTA10.
2. Choose Current year
as the period.
3. Under Selection
