Example: Processing Year-End Closing

Use

You can run year-end closing for the last FB year at any time during the year (before or after the migration to BCS). What is important is to subsequently migrate the corresponding budget update to BCS in one of the following ways:

Full migration of carryover documents. If you have activated the full migration of your carryover documents, you only have to run the document migration for the corresponding carryover documents for the first BCS year:

By selecting each document individually: this is only necessary if in FB you have documents for the first BCS year, apart from the carryover documents that you do not want to migrate.

By doing a delta migration: the system selects all documents in FB that are relevant for the specified fiscal year and only migrates those that have not yet been processed:

This is the correct procedure if you have to rerun the year-end closing process several times.

This is also correct if you have already run document migration for data of BCS entered directly in FB.

Due to the specific handling of carryover documents, both the last year of Former Budgeting and the first year of BCS will be updated.

No specific handling of carryover documents. In this case, you need to migrate the data of the two years involved in the year-end process separately.

For the last FB year: you run a totals migration of the corresponding year. Data already migrated to BCS will be deleted first and overwritten with the new values (including the carryover result).

For the first BCS year, you can update BCS in one of the following ways:

Via totals migration: Data can be migrated to a frozen version and then copied within BCS to the active version. The issue here is that you do not have a chance to calculate the delta, so you can only apply this solution once. If the year-end process has to be redone, you should proceed differently.

Via document migration. Here you can either:

Specify which FB documents should be migrated. This selection will be under your responsibility.

Run a delta migration: the system will only select documents that have not been migrated yet. This solution is only valid if you have not entered data in FB, and therefore do not need to migrate it.

Via manual entry: it is always possible to update BCS manually. This could be a lot of work with a risk of inconsistency between FB data and BCS data, but for a low volume of data, it is possible, although not recommended.
