Maintaining Posting Addresses

 

You can maintain posting addresses — define, create, delete — in multi-level budget structures using transaction Maintain Posting Address (FMBSPO_HIE_MULT).

In contrast to maintaining budget addresses, Funds Management account assignments to be used as posting addresses in a multi-level budget structure are defined for each FM area and fiscal year.

You can only define posting addresses for the current active version which links to a multi-level budget structure for the FM area and fiscal year. The system uses your specified posting ledger to get the corresponding budget category and then, in conjunction with the multi-level budget structure, the system finds all hierarchy IDs in the budget structure and budget category.

Note Note

When you define posting addresses, you can still post actuals/commitments to other FM account assignments. FM account assignments not defined as posting addresses are only excluded from actual/commitment postings if you have set the indicator Check Posting Address in Customizing activity Define Settings for the Budget Structure in Customizing for Public Sector Management under Funds Management —> Master Data —> Use of Account Assignment Elements —> Budget Structure.

Prerequisites

  • You have created a multi-level budget structure in Customizing for Public Sector Management under Funds Management —> Master Data —> Use of Account Assignment Elements —> Budget Structure —> Create a Budget Structure.

  • You have maintained multi-level budget structures (with several different hierarchy IDs) using the transactions to generate (FMHIE_GENERATION) or process (FMHIE_CHANGE) multi-level budget structures.

  • You have maintained the posting address definition rules for the hierarchy IDs in transaction FMHIE_HIEID.

Activities

  1. On the SAP Easy Access screen, choose Accounting —> Public Sector Management —> Funds Management —> Master Data —> Use of Account Assignment Elements —> Budget Control System (BCS) —> Budget Structure —> Multi-Level Budget Structure Maintain posting Address.

  2. Enter the FM area and fiscal year.

    The system uses this information to get the active version and the budget structure assigned to the active version. If the assigned budget structure is not multi-level, you cannot proceed.

  3. Enter the posting ledger.

  4. Specify your restriction on hierarchy ID.

    If you choose to maintain posting addresses for all hierarchy IDs in the budget structure then all hierarchy IDs related to the specific budget structure and budget category are read, and the system then generates all valid posting addresses for all hierarchy IDs one by one. Choose this option when you want to maintain posting addresses for the whole budget structure.

    If you want to maintain posting addresses for a single hierarchy ID, specify this hierarchy ID.

  5. Specify your restriction on constant FMAA elements. Only constant FMAA elements of the multi-level budget structure are displayed in this area. All the restrictions are based on the assignment of constant elements in the hierarchy ID in the transaction for processing a hierarchy ID (FMHIE_HIEID).

  6. Specify your restriction on hierarchy. Only FMAA elements of the multi-level budget structure are displayed here and restrictions must be based on the structure you have previously maintained in the transactions to generate (FMHIE_GENERATION) and process (FMHIE_CHANGE) multi-level budget structures.

  7. Create or delete posting addresses according to the restrictions you have specified.

    If you set the indicator for Test Run, no records are changed in the database, but all messages are logged as in the productive run.

Result

The number of posting addresses, and the posting addresses themselves that were selected for processing, are displayed. You can process several hierarchy IDs at a time. If errors are found in a hierarchy ID, they are collected into the error log and the system continues processing the other hierarchy IDs. The posting addresses without errors are displayed and you can also click the Error Log button in the toolbar to handle errors in those posting addresses where they occur.
