Create and Manage Key Performance Indicators

Add, edit, or delete a key performance indicator (KPI).

Prerequisites

To manage KPIs, you must have a global role that grants you the following privileges:
  • Data Warehouse General (-R------) - To access SAP Datasphere.

  • Catalog Asset (–RU––-M) - To edit an asset's name and short and long descriptions and add term, KPI, and tag relationships on the asset details page.

  • Catalog KPI Object (CRUD–-M) - To add, edit, and delete categories and KPIs. Also, to publish and unpublish KPIs.

  • Catalog KPI Template (–R–––--) - To view the KPI template.

The Catalog Administrator global role and the DW Viewer role template (used directly as a global role) applied together, for example, grant these privileges. For more information, see Privileges and Permissions and Standard Roles Delivered with SAP Datasphere.

Create a Key Performance Indicator

Context

To make sure your KPI is available in all catalog views, it's best to create it using the SAP Business Data Cloud cockpit system. If you want the KPI to be available in just one specific formation, create it using the DSP system for that particular formation.

Procedure

  1. In the side navigation area, choose (Catalog & Marketplace)Start of the navigation path Next navigation step End of the navigation path (Search).
  2. On the catalog search page, choose (Create), and then choose KPI.

    The New KPI page opens.

  3. Enter the name of the KPI, and optionally, add a description.
  4. Optional: Add a category by choosing .

    A dialog opens with all the KPI categories. Choose the checkbox next to the categories that you want associated with this KPI, and then choose OK. You can select up to 25 categories.

  5. Optional: Enter up to 10 keywords by typing the words and pressing Enter after each word.
  6. Optional: On the Definition tab, choose the KPI type.
  7. Optional: Select a type of measure.
  8. Optional: Select the unit of measure.
  9. Optional: Set one or more threshold ranges.
    1. Choose Add Range.
    2. Choose a color and then assign a label for the value. For example, yellow could have a label of "Warning". You can change the default value. For example, you can change the green value of "OK" to "Pass".
    3. Choose an operator from the table.
    Operator Example

    between (inclusive)

    Values 1 and 5. Returns the values 1, 2, 3, 4, and 5.

    between (left inclusive)

    Values 1 and 5. Returns the values 1, 2, 3, and 4.

    between (right inclusive)

    Values 1 and 5. Returns the values 2, 3, 4, and 5.

    between (exclusive)

    Values 1 and 5. Returns the values 2, 3, and 4.

    equals

    Value 5. Returns the value 5.

    less than

    Value 3. Returns the values 2 and less.

    less than or equal to

    Value 3. Returns the values 3 and less.

    greater than

    Value 3. Returns the values 4 and more.

    greater than or equal to

    Value 3. Returns the values 3 and more.

  10. Optional: Enter a calculation that represents the detailed definition. For example, the calculation could be E=mc2 and the definition could be: E=energy, m=mass multiplied by c= the speed of light 2=squared.
  11. In the Documentation area, enter information about your KPI. Use the tools to enhance your definition, such as applying text formatting (for example, color, bold, and bullet list), adding multimedia content (links to videos and images), and so on. Multimedia content that you add must be hosted elsewhere. This content isn't saved to the repository. When you add multimedia content, provide a link to the content that can be accessed from the browser when viewing the text. The content appears embedded in the text.
  12. Optional: Set any custom attributes as defined in the KPI template.
  13. Optional: To add related objects, choose Save and refer to Manage a Key Performance Indicator Relationship for additional steps.
  14. Choose Save to view the completed KPI or choose Save and New to create another KPI.

Results

The newly created KPI is saved and by default is unpublished. Only users with the Catalog Administrator role can search for and see all unpublished KPIs. For each KPI, you can see visible status labels that show its functional and publication status. Review the following table for what actions you can do for the different KPI statuses.

The KPI does not have any issues. You can publish the KPI and define object relationships for it. If needed, you can edit the KPI, such as change its name, description, keywords, and more.

The KPI has a warning or error that needs to be fixed. The KPI cannot be published until it is fixed. You can view the errors under Status on the KPI page:

The KPI is visible to anyone who uses the catalog. You can unpublish an individual KPI on the KPI page by choosing Unpublish or you can unpublish several KPIs on the catalog search page.

The KPI is visible only to users who have the Catalog Administrator role. You can publish an individual KPI on the KPI page by choosing Publish or you can publish several KPIs on the catalog search page.

You can edit, delete, and publish the KPI in the catalog where it was created. For example, if you use SAP Business Data Cloud and access the catalog from the SAP Business Data Cloud cockpit system to create the KPI, use that catalog to edit, delete, or publish the KPI.

Manage a Key Performance Indicator Relationship

Context

You can add and remove KPI relationships for assets in one of the following ways:
  • On the KPI's details page, you can add and remove relationships to assets, terms, and other KPIs. To do this, you must access the KPI's details page from the same system that was used to create it. For example, if you accessed the catalog from a SAP Datasphere of a specific formation, you must use that same system to access the catalog when managing that relationship.

  • Access the catalog from any system and open the asset details page. You can go to the Semantic Enrichment tab to add KPI relationships to assets. Also, if you want to add relationships to an asset's attributes, measures, and dimensions, select Start of the navigation pathOverview Next navigation step  DetailsEnd of the navigation path to add those relationships.

KPI relationships to other objects help you understand your business and make better decisions:

  • Relationships with other KPIs let you compare and analyze related KPIs when tracking performance of an object.

  • Relationships with glossary terms help you understand a KPI since you might not be familiar with the language used in the KPI.

  • Relationships with assets help you measure an asset’s progress towards a result, such as a goal or objective.

Procedure

  1. In the side navigation area, choose (Catalog & Marketplace)Start of the navigation path Next navigation step End of the navigation path (Search).
  2. On the catalog search page, use the filters or the search to find the KPI you want and select it. For more information, see Searching for Data Products and Assets in the Catalog.
  3. Choose Edit.
  4. Choose the Related Objects tab. Relationships can only be created on existing KPIs. If you're creating a KPI, you need to save the KPI before managing the relationship.
  5. Choose the Manage Details button.

    The Manage Relationships dialog opens.

  6. Optional: In the search bar, select either Assets or KPIs from the dropdown list for the object you want to create a relationship.
  7. Optional: Enter all or part of the object name in the Search box to further refine the results.
  8. Optional: To filter on different options for assets and KPIs, or favorite and recent objects, choose (Show filters). To sort the list alphabetically, choose (Sort). To change the view of the results, choose (Display as Table) or (Display as List).
  9. Choose the checkbox next to one or more objects, and then choose Add to Related Objects.

    The objects are placed in categories in the Related Objects panel on the right.

  10. Optional: To delete a related object, choose the X next to the object in the Related Objects panel.
  11. Choose Save to return to the KPI.

Edit a Key Performance Indicator

Make changes to your KPI.

Context

If a KPI has changed or needs repair, you can edit it. Changes can include editing its name, description, categories, and more.

You can edit a KPI by accessing the catalog from the same system that was used when creating it. For example, if you accessed the catalog from the SAP Business Data Cloud cockpit system to create a KPI, you must access the catalog from the same system to edit it. .

Procedure

  1. In the side navigation area, choose (Catalog & Marketplace)Start of the navigation path Next navigation step End of the navigation path (Search).
  2. On the catalog search page, use the filters or the search to find the KPI you want and select it. For more information, see Searching for Data Products and Assets in the Catalog.
  3. Choose one or more options to edit the KPI.
    Option Description

    Edit

    At the top of the screen, choose Edit to open a dialog to change the name, summary, categories and keywords.

    Edit Definition

    In the Definition area, choose Edit Definition to change the property type, measure type, default unit or the calculation description. You can also add, remove, or change the threshold values.

    Edit Content

    In the Documentation area, choose Edit Content to change the text. You can also change the font, add or remove links and more.

    Manage Details

    In the Related Objects area, choose Manage Details to add or delete relationships with this KPI. If the relationship is indirect, you must open that object to remove the relationship.

    Custom Attributes

    If you have custom attributes, choose Edit in the area with your custom attribute name to make changes to those attributes.

  4. Choose Save.

Delete a Key Performance Indicator

Delete a KPI from the system.

Context

Deleting a KPI removes the relationships to and from other objects. The KPI is permanently removed from the catalog.

You can delete a KPI by accessing the catalog from the same system that was used when creating it. For example, if you accessed the catalog from the SAP Business Data Cloud cockpit system to create a KPI, you must access the catalog from the same system to delete it.

Procedure

  1. In the side navigation area, choose (Catalog & Marketplace)Start of the navigation path Next navigation step End of the navigation path (Search).
  2. On the catalog search page, use the filters or the search to find the KPI you want and select it. For more information, see Searching for Data Products and Assets in the Catalog.
  3. Select the checkbox next to the KPI you want to delete. You can delete multiple KPIs at a time by selecting the checkboxes for other KPIs.
  4. Choose (Delete).
  5. On the confirmation dialog, choose Delete.
