Reason for Vacancy The reason for vacancy is the reason why a rental object can be vacant for a specific period. If a rental object is vacant, usually imputed vacancy costs are to be posted to a vacancy cost center. The reason for vacancy controls this.
Depending on the reason for vacancy, you specify which account and which cost center is used for posting during the vacancy.
You can edit the reason for vacancy manually on the rental object. However, you can also have the system set the reason for vacancy automatically when certain events occur that affect the vacancy of a rental object (such as a change to the term of the contract, notice being given, and so on). In addition, you can specify that rental of the object is (initially) not allowed, or only allowed after a warning message, during the period of the vacancy.
Make the necessary Customizing settings for the rental object:

You have made the following settings there:
Defined reasons for vacancy
You have specified the account to be posted for the vacancy reason so that follow-up postings should be generated for changes, which posting term should be generated when you create the rental object and how the vacancy period influences further rental.
Default texts for naming terms
If you have set up that posting terms should already be generated when you create the rental object, then you have defined default texts for naming terms so that you can differentiate these.
These automatically generated terms are also called default posting terms as you can copy them if a specific vacancy reason occurs.
If you want to automatically generate a specific vacancy reason on the rental object based on contract or rental object changes then make the following settings:
Determine vacancy reason based on vacancy event
You have defined which changes of the occupancy contract or rental object automatically sets a specific vacancy reason on the rental object (for example, rental object is recreated). You can still manually change a vacancy reason that was set automatically.
Determine vacancy reason based on notice reason
You have specified for notice reasons of contracts which vacancy reason is set on the rental object when this notice reason is specified.
To create or change a vacancy reason for a rental object, on the SAP Easy Access screen, choose:

→
Rental Object
You can add new vacancy periods here and change vacancy reasons on the
Occupancy
tab page.
To create or change the default term for this rental object, which should be copied when this change reason occurs, choose the
Posting Parameters
tab page
In order to post vacancies, conditions must be available on the rental object.
Choose the
Conditions
tab page fort his and insert conditions for the vacancy rents.
To post vacancies, on the SAP Easy Access screen, choose:
