ILM Object

You create policies and rules for the HR_PBCDOC archiving object with the Retention Management functions of SAP Information Lifecycle Management (ILM) for the related ILM object HR: HR Commitment Documents (HR_PBCDOC).

To define ILM policies (transaction IRMPOL) for HR_PBCDOC, you can use the following condition fields and time references (start time for determining the retention period).

HCM_PBC_END_OF_FIN

HR Commitment Documents: End of Financing Relevance

Determination of the start time is based on the following data:

  • Due date (DUE DATE) of the commitment document

  • Validity period of the document line of the HCM object for which financing was created

Determination of the Start Time of Retention and Residence Rules

The time base for the determination of the residence period and the retention period of HR commitment documents is the end of financing relevance. The start time is determined by synchronizing the due date of the HR commitment document with the defined end date of the period for automatic commitment creation in Customizing for Position Budgeting and Control.

Object Category and Policy Category

You define policies for HR_PBCDOC in the SAP Business Suite object category (OT_FOR_BS). The following policy categories are available for HR_PBCDOC:

  • Residence rules (RST)

  • Retention rules (RTP)

Audit Area

SAP delivers the HCM_DP audit area as a template for retention rules and the ARCHIVING audit area as a template for residence rules.
