So that only data from the infotype Monitoring of Tasks (0019) that is no longer relevant for current business processes is destroyed, certain conditions must be met. Checks ensure that these conditions are adhered to. The system performs checks for the following parameters:

  • Country Grouping

    The country grouping of the selected personnel number is checked against the country grouping that you have entered on the selection screen of the write program. The country grouping is a permitted rule-relevant field in the Information Retention Manager (IRM). You can define a country-specific retention rule that applies to all personnel numbers that belong to this country grouping.

    Example Example

    All data records for infotype 0019 that belong to the country grouping 01 (DE) are to be destroyed after 5 years.

  • Employment Status

  • Fields HCM_END_OF_RECORD and HCM_TERMN_DATE

    These fields are permitted start times for retention rules for HRPA_TASK. You can use these permitted fields and start times to define your own retention rules for employees with the status Withdrawn or Left.

    Example Example

    All data records of the infotype 0019 that have the status Task Completed or for which the date of the task (HCM_END_OF_RECORD) is 5 years old or more are destroyed. For this retention rule you can define an additional rule for employees with the status Withdrawn or Left in which you specify that all tasks in infotype 0019, irrespective of their status, are deleted 4 years after the employee's leaving date.
