To ensure that only data that is no longer required in business processes is destroyed, the write program performs the following checks:

  • The status of the requisition associated with the applications and candidacies must be Open (or Released).

  • The candidacies and applications to be destroyed need to have one of the following statuses:

    • Draft

    • Not Selected

    • Withdrawn

    • To Be Hired

    If an application and the associated candidacy do not have the same status, the status of the candidacy decides whether the data can be destroyed.

  • The candidacies associated with the application are always destroyed.

  • Forwarded applications need to remain in the system until all candidacies for this application (the original candidacy and the forwarded candidacies) have reached the end of the retention period. The system issues the appropriate message in the log.

    Only when the retention period has been reached, can all of the data (original candidacy, application, candidacies from forwarded applications, requisitions, and postings) be destroyed.

    Note Note

    Original candidacies cannot be deleted as long as they still have the status In Process. If a candidate is deregistered, the associated candidacies and applications receive the status Withdrawn. All applications and candidacies can be deleted as of this point in time, regardless of whether they are original or forwarded.

  • If there is a destruction lock on a requisition, the data is not destroyed. The system issues the appropriate message in the log. For more information, see Destruction Locks (Infotype 5123).

  • The candidates linked to the applications remain in the system.
