The following information is relevant for the definition of ILM policies for HRRCF_REQ.

ILM Object

You create policies and rules for HRRCF_REQ for the related ILM object HRRCF_REQ using the Retention Management functions of SAP Information Lifecycle Management (ILM).

Condition Fields and Time References

To define retention rules using ILM policies (transaction IRMPOL), you can use the following condition fields and time references (start time for determining the retention period).

Determination of the Start Time of the Retention Period

The start of the retention period is determined based on the following logic:

The reference date is based on the last change date on which the status of the requisition was either in the status Closed or in the status To Be Deleted.

Example Example

A requisition goes through the following status changes in sequence:

  • Draft

  • Open

    Note that the status Released is called Open on the user interface. For more information, see Requisition.

  • Closed

  • Open

  • Closed

    The last status change to a status that is relevant for rule evaluation is to Closed or To Be Deleted. The requisition is not reopened after this.

  • To Be Deleted

In this example, the date of the last status change from Open to Closed is used as the reference date for the start of the retention period. The subsequent status change to To Be Deleted has no effect on the retention period of the requisition data.

In rules evaluation, the system determines the specific change date as the reference date. You can use the time offset END_OF_MONTH or END_OF_YEAR to override the reference date. If, for example, you specify the time offset END_OF_MONTH when defining your retention rule, the system uses this time offset on the determined reference date. This means that the retention period starts at the end of the month in which the last change date lies.

Object Category and Policy Category

You define policies for HRRCF_REQ in the SAP Business Suite object category (OT_FOR_BS) with the Retention Rules policy category (RTP).
