ILM Information for HRPA_TASK
The following information is relevant for the definition of ILM policies for HRPA_TASK
.
You create policies and rules for HRPA_TASK
for the related ILM object HRPA_TASK
using the Retention Management functions (transaction IRMPOL
) of SAP Information Lifecycle Management (ILM).
You define policies in the SAP Business Suite
object category (OT_FOR_BS
) with the Retention Rules
policy category (RTP
).
To define retention rules, you can use the following condition fields and time bases (start time for determining the retention period).

You use the condition fields MOLGA
, BVMRK
, and STAT2
to define country-specific retention rules for data about tasks with a specific processing status. You can also define rules for employees with a specific employment status.
Example
All data records of the Monitoring of Tasks
infotype (0019) with the status Completed
or End of Task
(HCM_END_OF_RECORD
) that are older than two years are to be destroyed for all active employees with the country grouping DE
(MOLGA
01).
All data records of the infotype 0019 that are older than one year are to be destroyed for all employees with the employment status Withdrawn
or Left
after the employee's leaving date, irrespective of the data record's status.

Note
The time base Leaving Date of Employee
is needed for technical reasons so that you can delete the data records with the oldest date as the end date.
These types of data records cannot be selected for data destruction until the employee has left the company. Use the time base Leaving Date of Employee
to define a retention rule with which you can delete all of data records for an employee who has left the company after a specified retention period has elapsed.
Example
You define the following retention rule: All of the task data has to be deleted for all active employees in Germany six months after after the validity of the data record has ended. The corresponding retention rule in the application ILM Policies and Rules
is as follows:
