Enabling Automatic Syncing to SAP Cloud ALM

Prerequisites

You have licenses for both SAP Signavio Process Manager and SAP Signavio Process Governance.
Automatic synchronization is already enabled by the workspace administrator in SAP Signavio Process Collaboration Hub. For more information, see SAP Cloud ALM Synchronization.

Context

Submit Models for Approval

To automatically sync models to SAP Cloud ALM, you need to send them for approval first. Once the models are approved in SAP Signavio Process Governance, the synchronization begins automatically.

To submit models for approval, follow these steps:

From the header area of SAP Signavio Process Collaboration Hub, choose User Profile Menu - your initials.
Select View Preview.
Choose Shared folders from the sidebar. From here, you can either:
- Sync a single model: Open the model, choose (More options) and select Submit for approval.
  
  You can synchronize any revision of a model using this method.
- Sync multiple models: Select the models from the table, choose (More options) and select Submit for approval.
  
  You can only synchronize the latest available revision of the model using this method.
Note

If the model is already synchronized, a status icon appears showing the revision number and synchronization date.
Choose the SAP-recommended standard workflow, called Approval with Sync to SAP Cloud ALM and select Confirm.

A new approval case is created in SAP Signavio Process Governance.

Results after Process Model Approval

Scenario	Details
The synchronization is in progress	While the approval process begins, you see a badge stating Approval: In progress on top of the model. Select the badge to get more details about the status.
The synchronization is successful	In SAP Signavio Process Collaboration Hub you see a badge on top of the model stating Approval: Approved. This badge means that the sync has started. Once the syncing is complete, the badge  SAP Cloud ALM appears on top of the model. Select the badge to navigate to the model in SAP Cloud ALM. You can also view which revision of the model is synchronized in one of the following two ways: Hover over the badge. Select the revision switcher on top of the model page. Note You can't start a new sync for any revision of the model until the current synchronization is complete.
The synchronization fails but the process model is approved	In SAP Signavio Process Collaboration Hub, you still see a badge on top the model stating Approval: Approved, which means the sync has started. If syncing fails for some reason, you see another badge that's titled Sync failed. Select the badge to view the reason for the synchronization failure. Note The Sync failed badge appears only when all synchronization attempts for a model fail. If any revision of the model was successfully synced previously, you only see the badge  SAP Cloud ALM on top of the model page. To view which specific revision of the model failed to sync, you can select the revision switcher on top of the model page.
The process model is rejected	In SAP Signavio Process Collaboration Hub, you see a badge on top the model stating Approval: Rejected. You can contact the model approver for further clarification.
