Manually Syncing BPMN Models to SAP Cloud ALM

Learn how to manually synchronize any available revision of Business Process Modeling and Notation (BPMN) models from the SAP Signavio Process Transformation Suite to SAP Cloud ALM.

Prerequisites

You subscribed to SAP Connectivity Platform and added SAP Cloud ALM under Integrations, as described in SAP Cloud ALM for Implementation.
You've checked that your SAP Cloud ALM and SAP Signavio tenants are already provisioned in SAP for Me.
To be able to edit models and create new revisions, your workspace administrator activated the feature set SAP Signavio Process Manager - create and edit BPMN processes for your user, as described in Activating Feature Sets.
To be able to sync model revisions, your workspace administrator activated the feature set General - Diagram Import/Export for your user, as described in Activating Feature Sets.
You have an Enterprise Plus license assigned to your user.

Context

The SAP Signavio Process Transformation Suite is integrated with SAP Cloud ALM to enhance solution documentation and process design capabilities across connected systems. Access your BPMN model from SAP Signavio Process Collaboration Hub. You can make edits and keep your models in sync when you export model revisions from the SAP Signavio Process Transformation Suite to SAP Cloud ALM.

Note

SAP Signavio checks whether a process model already exists in SAP Cloud ALM as a result of synchronization from other systems, like SAP Solution Manager. This prevents creation of duplicate process models in SAP Cloud ALM, regardless of the systems from they were originally synchronized.

If a model from SAP Signavio already exists in SAP Cloud ALM, it is updated in SAP Cloud ALM when it's synchronized.
If a model from SAP Signavio doesn't already exist in SAP Cloud ALM, it is added to SAP Cloud ALM.
Every solution process in SAP Cloud ALM has a unique external reference link or ID. The solution process gets this reference ID either from an external system, like SAP Solution Manager, or it's created in SAP Cloud ALM when a model is synchronized from SAP Signavio. If an existing solution process doesn't already have a reference link or ID from an external system, it still gets one when the model is synchronized or first updated with SAP Signavio.

Procedure

From the header area of SAP Signavio Process Collaboration Hub, choose (User Profile Menu - your initials).
Select View Preview.

The Preview banner opens to confirm that you're working in preview mode.

Example
Navigate to and open your BPMN model's folder.

A table displays a list of any models previously saved in the folder.

Note

If the model is already synchronized, a status icon appears showing the revision number and synchronization date.
From the table, you can sync your model one of the following two ways:
- Sync the latest revision: Find your model's row, choose  More, and select Sync with SAP Cloud ALM. You can only sync the latest available revision of the model using this method.
- Sync any available revision: Select your model's name to open the model and choose the revision you'd like to sync to SAP Cloud ALM. Select  More and choose Sync with SAP Cloud ALM. You can synchronize any revision of a model using this method.
Caution
The Sync with Cloud ALM menu option is available only under the following conditions:

The feature set General - Diagram Import/Export is active for your user.

You're working in Preview mode.

Your SAP Cloud ALM and SAP Signavio tenants are already provisioned in SAP for Me.
Choose Confirm and sync.

Results

Scenario	Details
The synchronization is in progress	A dialog shows that the synchronization is in progress. If you refresh the page, the badge  SAP Cloud ALM appears on top of the model. Select the badge to get more details about the synchronization status. You can also view which revision of the model is getting synchronized by selecting the revision switcher on top of the model page. The revision in synchronization shows the  In progress icon. The synchronization can take up to two minutes. You can't start a new sync for any revision of the model until the existing synchronization is complete.
The synchronization is successful	Once synchronization is complete, a confirmation message appears with a link for navigating to the synced model in SAP Cloud ALM. Once you refresh the page, you see the badge  SAP Cloud ALM on top of the model. Select the badge to navigate to the model in SAP Cloud ALM. You can also view which revision of the model is synchronized in one of the following two ways: Hover over the badge. Select the revision switcher on top of the model page. Note If you receive an error message instead of a confirmation message, or if you run into other synchronization issues, see troubleshooting help in SAP Note 3538316 . The synchronization fails	You see the badge  SAP Cloud ALM on top of the model. Select the badge to view the reason for failure. Note The sync failure badge appears only when all syncing attempts for a model fail. If any revision of the model was successfully synced previously, you only see the badge  SAP Cloud ALM on top of the model page. To view which specific revision of the model failed to sync, you can select the revision switcher on top of the model page.

Next Steps

(Optional) If you want to undo the sync or change the synchronized model in SAP Cloud ALM, edit the synchronized model in SAP Signavio Process Manager, then sync the new revision with SAP Cloud ALM.
