Before you destroy candidate data, you can use the preprocessing program RH_RCF_ARC_CAND_PRE to send e-mails to the candidates to inform them that their data is about to be destroyed. There you enter the date by which the candidates need to have logged on to the career page to prevent their data from being destroyed. Make sure that you give the candidates enough time to log on.

Candidates who have already deregistered will not be sent an e-mail.

If the candidates log on again before the specified date, their data is not considered during the data destruction session. If the candidates do not log on again their data is destroyed automatically.

With the Business Add-In (BAdI) HRRCF_DATA_AGGREGATION you can aggregate data from archive files and save the results in customer-specific tables. The BAdI is called before the data in the archive files is actually destroyed.

Procedure

  1. Make the settings required to send e-mails to candidates before deleting their profiles:

    • When you activate the business function HCM, SAP E-Recruiting 4 (HCM_ERC_CI_4), activity type 1320 for sending reminder e-mails is available in Customizing for SAP E-Recruiting under Start of the navigation path Applicant Tracking Next navigation step Activities Next navigation step Correspondence Next navigation step Assign Correspondence Activities to E-Mail Verification Scenarios End of the navigation path. SAP Smart Forms provides the form HRRCF_CS_IT_EXA_CAND_DEL_REM (text module HRRCF_CS_MT_CAND_DEL_REM) for this activity type. You can use this form as a template for reminder e-mails and adjust it according to your needs.

    • If you have not activated business function HCM_ERC_CI_4, you have to use the RECFA CDDEL switch. In Customizing for SAP E-Recruiting, perform the Customizing activity Set System Parameters under Technical Settings and enter activity type 1320 in the RECFA CDDEL switch.

  2. In Customizing for SAP E-Recruiting, under Tools, execute the Customizing activity BAdI: Aggregate Data from Archive Files for Data Destruction and create a BAdI implementation for aggregating and saving SAP E-Recruiting data.
