When you destroy commitment documents in Human Resources with the HR_PBCDOC archiving object, you also need to destroy the earmarked funds belonging to the commitment documents in Funds Management by using the Earmarked Funds (FM_FUNRES) archiving object.

This archiving object archives and destroys the following document types:

  • Funds Block

  • Funds Reservations

  • Funds Commitment

  • Funds Precommitments

  • Funds Transfer

  • Forecast of Revenue

Do not destroy the earmarked funds with the FM_FUNRES archiving object until you have destroyed the commitment documents using the HR_PBCDOC archiving object.

Note that the earmarked funds in Funds Management must have the status Completed so that they can be archived or destroyed.

In the deletion phase of a data destruction run using HR_PBCDOC in Human Resources, the system consistently deletes all of the previously archived data. However, when archiving with the FM_FUNRES archiving object in Funds Management (FI-FM) you cannot archive any earmarked funds that do not have the status Completed. If you realize during the data destruction run that earmarked funds exist, the system automatically sets them to Completed.
