You can view the general settings of the ILM objects delivered by SAP for the object category SAP Business Suite (OT_FOR_BS) in IRM Customizing (transaction IRM_CUST). You can display the available times bases, available time offsets, and available condition fields for each ILM object.

For example, when creating an ILM policy with a retention rule for an ILM object using ILM Policies (transaction IRMPOL), you can use the fields available for this ILM object.

Available Time Bases

This is where all of the time bases that you can use to define ILM rules for an ILM object are registered.

If at least one time offset is entered for the available time bases of an ILM object, you can also use it to define your ILM rule. You define the value determination for available time bases in the object category-specific settings (object category SAP Business Suite) of the ILM objects. Depending on whether the available time bases for an ILM object are entered with or without an available time offset, the system uses the corresponding method for determining the start date during rule evaluation.

Available Time Offsets

This is where you register all of the time offsets that you can use to define ILM rules for an ILM object for each time base.

If one or more time offsets are available for an ILM object, a Time Offset column is displayed in the ILM Policies application (transaction IRMPOL). The time offset specifies the end of a calendar unit (such as a year or month). The end of the calendar unit in which the determined reference date lies represents the start date of the retention period that is to be determined (if there is a retention rule).

You define the value determination for available time offsets in the object category-specific settings (for example, object category SAP Business Suite) of the ILM objects.

Example Example

If you enter the time base Creation Date with the time offset End of Year, the system determines the specific creation date as the reference date during rule evaluation. The start date is determined by using the time offset on the reference date. This means that the retention period starts at the end of the year in which the creation date lies.

Available Condition Fields

This is where all of the condition fields that you can use in addition to the standard condition fields to define ILM rules for an ILM object are registered. You define the value determination for available condition fields in the object category-specific settings (object category SAP Business Suite) of the ILM objects.
