If you run the RPASR_PD_WRITE write program for the HRASR_PD archiving object , you must enter an existing variant or create a new variant. You need a variant for each archiving or data destruction run, even in test mode. The variant contains the selection criteria for the organizational process data that you want to archive or destroy. For this purpose, you have the following selection criteria and options for process control available:

  • Select Data Until

    You enter a date until which data records are to be selected. This date is for preselection purposes for performance reasons, to restrict the number of selected data records. The system selects all data records with a start date that is before or on this date. The date until which data can actually be destroyed is determined by the preprocessing program.

  • Object Type

    You can restrict the selection to the data records that belong to the object type entered.

  • Object Key

    You can restrict the selection to the data records that belong to the ID of an object.

  • Process

    You can restrict the selection to the name of employee processes.

  • Test Run

    If you select this checkbox, the preprocessing program is run in test mode. No ID is generated for preprocessing. If you do not select the checkbox, the preprocessing program is run in productive mode and a preprocessing ID is generated.

  • Detailed Log

    If you select this checkbox, a detailed log is generated. Only use this option to perform an error analysis in test mode. Since the log is very detailed you must not use it in productive mode.

The following ILM actions are available in this write program:

  • Data Deletion

    You use this action to delete data that is no longer required and that, according to the rules defined in the Information Retention Manager, may be destroyed from the database and the archive.

  • Archiving

    You use this action to archive data that is no longer required and that, according to the rules defined in the Information Retention Manager, may be archived from the database and the archive.

Procedure

  1. Start Archive Administration (transaction SARA).

  2. Enter the Archiving Object and choose Write.

  3. Enter a name for the Variant and choose Maintain. The Variants: Screen Assignment dialog box appears.

  4. Define whether the variant is to apply to all selection screens of the program or to individual selection screens. Choose Continue.

  5. Enter the selection criteria and choose Attributes.

  6. Define the variant attributes.

  7. Save the variant.
