You can run the program in test mode or productive mode. Irrespective of this, you always need to create a variant for the write program (or select an existing variant). For this purpose, you have the following selection criteria and options available:

  • Select Data Until

    You enter a date until which data records are to be selected. This date is for preselection purposes for performance reasons, to restrict the number of selected data records. The system selects all data records with a start date that is before or on this date. The date until which data can actually be destroyed is determined.

  • Country

    You can restrict the search for data on applications and candidacies to be destroyed to a country. The system selects all data from open requisitions for the enterprise's branches in the entered country.

  • Region

    You can restrict the search for data on applications and candidacies to be destroyed to a region. The system selects all data from open requisitions for the enterprise's branches in the entered region of a country.

  • Enterprise

    You use this field to restrict the search for application data and candidacy data that is to be destroyed to one or more enterprises. The system selects all data from open requisitions for these enterprises.

  • Requisition Type

    You can enter a requisition type (Job-Specific Requisition or Application Group) to restrict the search for data to applications.

  • Requisition ID

    You can enter one or more requisition IDs to directly select application data.

  • Candidacy Status

    You can restrict the selection of the application data to be destroyed to the status of the candidacy or application. All data on applications and candidacies that has one of the following statuses can be destroyed:

    • Withdrawn

    • Rejected

    • To Be Hired

    • Draft

  • Candidacy ID

    You can enter one or more candidacy IDs to select the related application data. You use this parameter primarily in test mode.

  • Application ID

    You can enter one or more application IDs to select the related application data. You use this parameter primarily in test mode.

  • User Name

    You can search for an application by providing an alias for a user.

  • Comment/Note

    You enter a short text for this data destruction session.

  • Test Run

    If you select this checkbox, the write program is started in test mode. No archive files are created and no data is deleted from the database. The delete program is not started.

    If you do not select this checkbox, the write program is started in productive mode and archive files are created for the destruction of data.

  • Detailed Log

    If you select this checkbox, a detailed log is generated. Only use this option to perform an error analysis in test mode. Since the log is very detailed you must not use it in productive mode.

Procedure

  1. Start Archive Administration (transaction SARA).

  2. Enter the Archiving Object and choose Write.

  3. Enter a name for the Variant and choose Maintain. The Variants: Screen Assignment dialog box appears.

  4. Define whether the variant is to apply to all selection screens of the program or to individual selection screens. Choose Continue.

  5. Enter the selection criteria and choose Attributes.

  6. Define the variant attributes.

  7. Save the variant.
