Invoice
Expense Type Fields Editable for Multiple Payment Request Line ItemsWith this release, clients will be able to edit the Expense Types field of multiple payment request line items.
Clients will be able to click the Edit button in the Itemisation Summary section of the opened payment request when they have selected one or more line items.
When clients have selected one line item, Invoice will work as it currently does. When clients have selected more than one line item, an Edit Multiple Fields window appears where they can edit the Expense Types field. Users can edit up to 50 expense types in bulk.
Business Purpose/Client Benefit: This feature makes it easier for users to perform bulk updates to their payment requests.
Ability to Assign Payment Requests Available in the Actions MenuClients who have been assigned unsubmitted payment requests incorrectly can now reassign these without having to open the requests by clicking the Assign option in the Actions menu.
Business Purpose/Client Benefit: This feature gives clients the flexibility of an alternative way to assign a payment request.
Users Can Now Access Any Deleted Payment Requests They Own
Users will now be able to access any deleted payment request they own by clicking Invoice > Manage Requests > My Requests and selecting the Deleted Requests option in the View menu.
Deleted payment requests (deleted by the owner or someone else) can also be retrieved if users right-click the deleted payment request and select the Restore Request option.
Business Purpose/Client Benefit: This feature gives clients more control over the payment requests that they own by providing access to them and, if need be, retrieving deleted ones.
Purchase Requests and Purchase Orders
Purchase Order Search EnhancementWith this release, clients will now be able to use a wider range of search criteria when searching for purchase orders from which to create payment requests. They can search for purchase orders by supplier, purchase order amount or purchase order number. The search field is a contained search, so clients are not required to enter the prefix to search for a specific PO number. In addition, clients will be able to search for purchase orders by using wildcards, which means wildcards can be used in place of values within a string to receive results for any value.
Business Purpose/Client Benefit: This feature makes it easier for clients to quickly locate purchase orders from which to create payment requests.
Purchase Request and Purchase Order Numbers Hyperlinked on Some PagesClients will now be able to click on a purchase order or purchase request number on some pages in Invoice to view information. These numbers, which are now hyperlinks, will provide easier navigation between records for clients. For example, if a client is reviewing a purchase request and wants to view the associated purchase order, they can now click on the hyperlinked PO number to open that record.
Business Purpose/Client Benefit: This feature makes it easier for clients to quickly go to the related records to view their information.
PO Matching Summary EnhancementsWith this release, if your purchase order has more than 200 lines, Invoice will present only the first 200 unmatched purchase order lines in the Matching Summary tab. Invoice will load any lines that are matched to current invoices on the screen and the next 200 unmatched lines.
In addition, a new line search field will be available on the Matching Summary tab where users can perform a contained search, for example, for a line item number, description or a supplier part number. The line search field will also be available in the Copy Items from PO window, which is accessed from the Matching Summary tab.
Business Purpose/Client Benefit: These enhancements make it easier for clients to find line items for specific purchase orders to complete the PO matching process.
Users By Browser Report
Users by Browser Report Available in CSV OnlyThe Users by Browser report is available to all admins working with the Expense, Request, Invoice and/or Travel offerings in both the Professional and Standard product editions.
With this release, the report is available only in CSV format.
This CSV file contains the following fields: Login Name, Email, First Name, Last Name, Last Login Date, IP Address, Login Count, Browser and Browser version.
Business Purpose/Client Benefit: The report shows admins if users have outdated or unsupported browsers. CSV is the most widely used data format.
Sign-In Page for ConcurSolutions.comUpdated Background Images on the Sign-In Page
With this release, images on the sign-in page will be updated to a new quarterly selection of images.
Capture Processing
Updated Error Message When Manually Configuring Email AddressWith this release, an updated error message is now displayed when the admin creates or edits an email address. The admin performs this task for their suppliers in order to allow verified email addresses when invoices are sent to Capture Processing.
Before this change, the following error message would display when configuring an email address:
"Entered email address is invalid or does not adhere to one of these formats:
InvoiceCapture@Concur.com, Invoice@Concur.com, InvoiceCapture@ConcurSolutions.com, Invoice@ConcurSolutions.com"
The admin will now see the following error message:
"Entered email address is invalid or does not adhere to one of these formats:
InvoiceCapture@ConcurSolutions.com, Invoice@ConcurSolutions.com"
Business Purpose/Client Benefit: This enhancement clarifies the needed steps for successful email address configuration, and enforces the use of the @ConcurSolutions.com domain.
Planned Changes
**Planned Changes** In-Product Messaging for EuropeFor quite some time, In-Product Messaging (IPM) within Concur products has been available for US customers.
The messaging that is presented to each US user is based on data provided by a well-known US-based "recommendation" engine. That engine, however, is not the best fit for the stricter laws in the European Union (EU). So, in an effort to comply with the EU laws, Concur developed its own recommendation engine for its In-Product Messaging System.
Early Access customers in the EU will be contacted by a Concur representative before enabling this feature. After 60 days, this feature could be enabled for all other customers in the EU. Also, since the new system will provide a better all-around IPM experience for Concur customers, US customers will soon use the new system, too.
Just like today for US users – the content, timing, location and frequency of a message are all defined by each message campaign and by the characteristics of each company and each user.
**Planned Changes** Setup is Getting a New Look and Improved NavigationThe current Setup navigation links that appear on each of the Setup pages will be reorganised into a central Product Settings page containing sections, defined by business purpose, which contain links and brief descriptions for the Setup pages to help administrators understand the purpose of each feature. On clicking a link, for example Users, you would go to the existing Users page that you use today. A navigation breadcrumb trail provides a path back to the central Product Settings page.
In future releases, Concur will be making additional improvements to some of the Product Settings features. Additional information will be available in future release notes.
Business Purpose/Client Benefit: This enhancement will help improve the Setup feature navigation, and make it easier for new administrators to understand the Product Settings features and complete the Setup tasks.
**Planned Changes** Check for Missing Account Code Later in WorkflowEmployees will be able to save, submit and approve a payment request even if one or more account codes are missing for expenses in the payment request.
Currently, whenever an expense is saved, the system validates that an account code has been provided for the related expense type and adds that account code to the expense (a process not visible through the UI). If there is no account code associated with the expense, the expense cannot be saved.
With this update, the payment request can be submitted and approved. However, the system will block the expense data from being extracted or posted to your financial system until your Concur company administrator provides an account code mapping for the expense type in Setup.
Business Purpose/Client Benefit: Employees are no longer prevented from completing their payment requests when an account code is missing in the expense type configuration. Account codes are now populated at a single, consistent point in the workflow.
