Digital Signature in the Shift Report

Use

You can use the digital signature in the shift report. With the digital signature, you can check the shift report and then sign it by choosing the Sign function key.

You can specify the following:

  • The shift report is to be signed by one person only. In this case, you use the individual signature.

  • The shift report is to be checked and signed by two or more persons. In this case, you have to use a signature strategy.

Prerequisites

  • To be able to use the digital signature, you must make the settings for the latter in Customizing for the Shift Report under Signature Strategies for Approval .

  • You must make the following settings in the Detail Data for the shift report type in the IMG activity Define Shift Report Types :

    • Use Signature checkbox

      You use this checkbox to specify that the shift reports are to be signed.

    • You specify the signature strategy you want to use in the Signature Strategy field. You only need to specify the signature strategy if you are not working with individual signatures.

    • Complete checkbox

      You use this indicator to specify that a new shift report can only be created for a work center or hierarchy if the previous shift reports have been completed. Shift reports that have to be signed are not completed until the signature has been provided. Completion of the preceding shift report is a precondition for the creation of the next one.

Features

If you use the digital signature, the shift report can have the following status:

  • Saved

    The shift report has been generated and saved. However, this status is only available if you do not use the digital signature.

  • Discarded

    The system sets this status if you have used the Discard function key while processing the shift report. The shift report is thus rendered invalid.

  • To Be Signed

    The shift report has been generated and saved. A signature is necessary, but has not yet been provided. The system sets this status only if you are using the digital signature functionality.

  • Signed

    The system sets this status as soon as the shift report is signed. The status is set only if just one person must sign.

  • For Checking

    The first signature has already been provided. A second signature is necessary but does not yet exist.

  • Checked

    All necessary signatures are in place. This status is set only if more than one signature is necessary.

  • Rejected

    The person responsible has rejected the shift report.
